General Resource Information
Use the procedures in this section to manage all types of resources and the tasks associated with them. For procedures that apply to specific resource types, see Learn more about... below.

- Add or Delete Resource Custom Codes
Depending on your role in WorkBook, you can add multiple custom codes to most resource types in Resources. You can also delete custom codes that you no longer need. - Create Resource Conversations
Depending on your role in WorkBook, you can create conversations for most resource types in Resources. These include clients, companies, prospects, and suppliers. - View Client Project Conversations
Depending on your role in WorkBook, you can view and reply to conversations about client projects in Resources. - Manage Resource Conversations
Depending on your role in WorkBook, you can manage resource conversations by deleting them, marking them as favorites, adding conversation participants, editing subscription settings, adding reminders, and sending document attachments to conversation participants for their approvals in Resources. These options are available for most resource types, including clients, companies, prospects, and suppliers. Alternatively, you manage prospect and client conversations in CRM. - Group Resource Conversations
Depending on your role in WorkBook, you can group resource conversations by date, name, resource type, or period in Resources. This option is available for most resource types, including clients, companies, prospects, and suppliers. - Delete Comments from Conversations
If you are an administrator in WorkBook, you can delete comments from conversations without having to delete subsequent comments. You cannot delete system-generated comments and comments in conversations about documents that are for approval. Users who were tagged in deleted comments remain part of the conversation. - Duplicate Resources
Depending on your role in WorkBook, you can create duplicates of resources in Resources. For example, when you have a new Account Manager and you want them to have the same access rights and settings as an existing employee. For employees, you can also create duplicates from the employee card. - Deactivate Resources
Depending on your role in WorkBook, you can deactivate resources that you do not need in Resources - for example, if you are not currently working with the resource but you plan to work with them again in the future. You cannot deactivate resources with active transactions or jobs in WorkBook. You cannot enable a company after disabling it. - Link a Profile to a Resource
Depending on your role in WorkBook, you can link multiple profiles to each resource in Resources. To do this, you must first create the profiles in . Alternatively, you can link profiles to prospects and clients in CRM. - Unlink a Profile From a Resource
Depending on your role in WorkBook, you can unlink profiles from resources in Resources. Alternatively, you can unlink profiles from prospects and clients in CRM. - Define Optional Fields for Resources
Depending on your role in WorkBook, you can define optional fields for resources in Resources. For example, you can use the optional fields to gather agency-specific information about a client. - Manage Resource Emails
Depending on your role in WorkBook, you can manage resource emails by deleting, moving, downloading, forwarding, or replying to them in Resources. You can also download all email attachments as zip files. - Manage Resource Folders and Documents
Depending on your role in WorkBook, you can create, delete, or rename folders where you can store resource documents in Resources. You can also generate default folder templates. Alternatively, you perform these tasks in CRM. - Add External References to a Resource
Depending on your role in WorkBook, you can add external references to resources in Resources. For example, you can use external references to import data such as vendor invoices and media orders from MediaForce to WorkBook. For companies and employees, you can also add external references in Settings.
