View All Absence Requests Dialog Box

Use this dialog box to scroll through 31 days at a time and view the days submitted, approved, and/or rejected for one or more employees.

In the month grid, a separate row displays for each employee. The days are color-coded so that you can quickly see submitted, approved, and rejected days. This can help you see overlapping days for which you may not have staff coverage in the office.

The absence requests that are displayed in the dialog box are restricted based on the employee's access rights as configured in the Approval Workflow Record Access grid (Record Access tab of Configuration > Security > Roles).

Location

To display the dialog box, complete the following steps:

  1. From the Vision Navigation menu, click Time & Expense > Absence Requests.
  2. On the toolbar of the Absence Requests form, click View All Absence Requests.

Absence Request Filter Section

Use this section to enter criteria for selecting the absence requests that you want to view in the month grid on this dialog box.

Field Description
Employees Click and on the Employee lookup select the employees whose absence requests you want to view.
On the lookup, you can select any of the following employees:
  • Employees who have an absence request that is currently assigned to you to approve.
  • Employees who report to you. (You are entered in the Supervisor field on the General tab in the Employee Info Center for employees.)
  • Employees who belong to a timesheet group for which you are the administrator (Group, Company, or System is entered in the Level field in the Administration section on the Time tab in the Employee Info Center for your employee record.) If you are a system timesheet administrator, you can select any employee. If you are a company timesheet administrator, you can select employees who belong to the companies for which you are the company administrator.
  • Any employee for whom you have record level view access rights, per your security role on the Record Access tab in Configuration > Security > Roles. This allows you to determine coverage for your department and select and view employees who do not have any absence requests.
Absence Type Click and on the lookup select the absence request type (benefit accrual code) of the absence requests that you want to view, such as vacation or sick leave. Only the benefit accrual codes that have an approval workflow assigned to them (on the Benefit Accrual Setup tab in Configuration > Accounting > Time Analysis) display on the lookup.

When you leave this field blank, all absence types are selected.

Start Date Click , and in the calendar select the earliest date of an absence request that you want to view. You can also enter a date directly in this field. This date determines the first date that appears in the month grid.
Status Click , and on the lookup select one or more statuses of the absence requests that you want to view.
Possible statuses are:
  • Submitted
  • Approved
  • Rejected
Refresh List Button Click this button after you enter information in the Absence Request Filter section to have the absence request days that meet the criteria that you entered in this section display in the month grid.

Month Grid

This grid displays a separate row for each employee and for each type of absence for an employee, based on the criteria that you entered in the Absence Request Filter section. Multiple requests for one absence type for an employee all display in one row for the employee.

The days in the month grid are color coded so you can easily see submitted, approved, and/or rejected days:
  • Light green — These are non-working days.
  • Blue — These are holidays.
  • Yellow — These are days that you previously submitted that are not yet approved.
  • Dark green — These are days that you previously submitted that were approved.
  • Red — These are days that you previously submitted that were rejected.

When you hover the cursor over a day in the month grid for submitted, approved, or rejected absence requests, a tooltip displays the absence request type (the benefit accrual upon which an absence request is based, such as sick leave, vacation, and so on).

Field Description
Date Range Heading The date range heading above the grid starts with the date that you entered in the Start Date field in the Absence Request Filter section and ends 31 days from the start date. Use the scroll left and scroll right arrow to bring different dates into view.
Name This displays the name of the employee for whom the absence request applies.

If the Instant Messaging feature is enabled in Vision (on the Miscellaneous tab in Configuration > General > System Settings), you can click the icon beside the employee's name to send an instant message or email to the employee.

Days of the Month (S, M, T, W, T, F, and S) A maximum of 31 other columns display in the grid that represent days of the week. Each column heading displays the first letter of the day of the week — S, M, T, W, T, F, and S (Sunday, Monday, Tuesday, and so on).

The date (number) for each day of the week displays in each column, starting with the date that you entered in the Start Date field in the Absence Request Filter section. Use the scroll left and scroll right arrow above the grid to bring different dates into view.
