Automatically Populate Timesheets with Resource Planning Data

If you are using Resource Planning, you can automatically populate timesheets with data from your project plans. The project, phase, task, and labor code are entered on the timesheet for each assignment.

Each time that an employee opens a new or in progress timesheet, Vision automatically updates the timesheet with data from the Resource Planning application. Project data is pulled into the timesheet from each assignment for which the employee has planned hours in the timesheet period.

Employees can click Show > Planned Hours on the Timesheet toolbar to view a summary of their planned hours.

To enable this feature, your system administrator must select Autopopulate timesheet with resource planning assignments on the Setup tab of Company Timesheet Configuration.

Vision enters plan and project information on an employee's timesheet only if the following conditions are met:

  • Include in Utilization and Project Planning is selected for the plan on the General tab of Project Planning, and the plan's Status is set to Active orInactive. If Treat inactive projects/plans as dormant is selected on the Setup tab of Company Timesheet Configuration, Vision uses data only from Active plans.

  • Approved for use in accounting applications is selected for the project on the General tab of Project Info Center, and the project's Status is set to Active orInactive. If Treat inactive projects/plans as dormant is selected on the Setup tab of Company Timesheet Configuration, Vision uses data only from Active projects.

  • The employee has planned hours that fall within the timesheet period. For example, if an employee has planned hours on Project B from 8/1/15 through 8/15/15, and the timesheet periods are weekly, Vision populates timesheets with Project B data and planned hours for 7/31/15 - 8/6/15, 8/7/15 - 8/13/15, and 8/14/15 - 8/20/15.

Special Considerations

  • If an employee is removed as a resource from a plan after charging time to the project, Vision does not automatically remove the charged time from the employee's in progress timesheet.

  • Timesheets are autopopulated with Resource Planning data only when an employee opens his/her own timesheet. Timesheets are not autopopulated when an administrator opens an employee's timesheet.
