Show Tab of Resource Utilization

Use the Show tab to configure how Vision displays information on the Resource Utilization grid. These settings apply to your current grid only.

Field Description
Assignments Use the fields in this group box to select the date criteria for the assignments.
Dates

Select the range of dates in which you are searching for planned hours.

The first time you use Resource Utilization, Vision defaults the start date to today's date, and the end date to the end date of the fourth consecutive period. For example, if the start date is February 1 and the View By option is set to Week, then the end date is four weeks after the start date. In this case the end date is February 28.

The last date range determines the default dates in Assignments each subsequent time you use Resource Utilization. Because you cannot leave these fields blank, if you remove the dates Vision enters the last date range as the default.

View By

The View By option dictates how dates and values are reported for the Planned Start, Planned End, and Period columns. If your View By selection differs from the plan's scale for the selected date range, Vision automatically calculates the values that display. For example, if you save a plan using a month interval but now select week, Vision prorates the month's planned hours into planned hours per day, and combines the days to display the appropriate number of hours per week.

Select one of the View By options (Day, Week, Month, and so on) to use as the interval on the Resource Utilization grid.

Search Click Search to execute the search after you enter all criteria.
Show Hours Beyond Select this option to display the Hours Beyond column on the far right side of the Resource Utilization grid. This column lists the planned hours that extend beyond the end date.
Identify Which Plans I Manage Select this option to display a check mark in the Info column next to the plans for which you are the identified manager. When your mouse rolls over the check mark, Vision displays: You are the project manager on this plan.
Lowest Plan Level to Open

Select the lowest level of the plan to display on the Resource Utilization grid. This level indicates how far down the resource information should display when conducting a search. Options are:

  • Resource — This option displays the employee and generic resource row.

  • Plan — This option displays the plan name row.

  • Lowest Level — This option opens the plan to its lowest level.

Period Column Resource Row Values

Use these options to configure how hours, percentages, and billable planned hours display on the Resource Utilization grid.

Show

The Hours and Percentages options determine how hours and/or percentages display in the Period columns for each employee row on the grid.

  • Hours — This option displays hour values in the Period column for each employee name row. Generic resources are always reported using hours.

  • Percentages — This option displays scheduled or utilization percentage values in the Period column for each employee name row.

  • Hours and Percentages — This option displays hour values and scheduled or utilization percentage values in the Period column for each employee name row.

Hours to Include

The All Planned and Only Billable Planned options determine how planned hours are reported for plans.

Your choice determines if all employee or generic resource planned hours on in-utilization plans are represented on the resource name rows in the period columns, or only the planned hours on in-utilization plans for billable projects.

Your choice also determines whether the Utilization Determination or Availability Determination groups in Configuration > Planning > Resource Management settings is used to determine which background color to apply, and to which columns in the left hand grid in addition to the period columns.

  • All Planned — Planned hours are based on in-utilization plans. Availability Determination group colors are applied to the scheduled column in the left hand grid, if displayed.

  • Only Billable Planned — Planned hours are based on billable projects for in-utilization plans. Utilization Determination group colors are applied to the Billable Planned Hours and Billable Utilization columns in the left hand grid, if displayed.

Resource Order

Use these options to determine how employees and generic resources are presented on the Resource Utilization grid.

  • Alphabetically Based on Last Name — This option displays employee names in alphabetical, ascending order (last name first), or displays generic resources in ascending order based on labor category name. If generic resources are included, they are merged into the list.

  • Over Utilized Employees First — This option displays the name of employees deemed over utilized in alphabetical, ascending order, last name first. After the over utilized employees display, the remaining employees display in alphabetical, ascending order, last name first.

  • Under Utilized Employees First — This option displays the names of employees deemed under utilized in alphabetical, ascending order, last name first. After the under utilized employees display, the remaining employees display in alphabetical, ascending order, last name first.

Vision calculates utilization in the following way:

  • If you set the Values Shows for Resource Rows in Period Columns option to All Planned, Vision uses the Availability Determination settings in Configuration > Planning > Resource Management Settings to calculate the employee utilization.

  • If you set the Values Shows for Resource Rows in Period Columns option to Only Billable Planned, Vision uses the Utilization Determination settings in Configuration > Planning > Resource Management Settings to calculate employee utilization.

Plan Details

Use these options to determine how records display on the Resource Utilization grid.

  • Include Numbers with Plan Names — This option displays the plan number and name. Vision sorts the displayed plans for an employee or generic resource in ascending order based on the plan number and then name.

  • Include Numbers with Plan Level Names — This option displays the plan number or code along with the name for the plan level rows shown below the plan name row. For example, with this option selected, Vision displays 200201100: Oak Ridge Center for the project. Without this option selected, Vision displays Oak Ridge Center. Including the numbers with the names for the levels below the plan name does not affect how they display because Vision always displays them in the order found on the plan.

If the numbers are set to display and Vision does not find an associated number or code to include, Vision substitutes <none> for the missing value when the plan or plan level name is displayed.

Columns Shown and Order

Use the Columns Shown and Order grid to specify which columns of data display, and in what order, on the left side of the Resource Utilization grid.

The sequence of the columns dictates the sequence in which they display on the Resource Utilization grid. To change the order of the columns, select a column and click Move Up or Move Down.

The Resource Name column is required. You cannot remove the check mark, but you can change the order in which it displays.

The Soft Booked Hours column displays only if the Use Soft and Hard Booking for Employees Planned Hours option is selected in Configuration > Planning > Resource Management Settings.
