Document Management Configuration Form

Use the Document Management form in General Configuration to set up and maintain your document sites, document libraries, and document folders.

The View command displays SharePoint's default Web application screens, which are not part of the Vision application. Changes that you make to SharePoint with the screens displayed by the View command may not be reflected in Vision, and may cause Vision's Document Management features to perform differently than you expect. Deltek recommends that you do not use these screens to modify libraries, upload files, or change site settings.

Location

To display the form, complete the following step:

From the Vision Navigation menu, click Configuration > General > Document Management.

Sites Grid

Field Description
Insert

Click this option to add a new site. This site is then available to those security roles with the appropriate access. Document libraries and folders can be added to this new site.

On the Select Template dialog box, select Template/Site Definition to create the new template or site definition. The drop-down list displays all available SharePoint site definitions as defined in Vision Security.

Delete Click this option to remove this site permanently. Only users with the proper security can delete sites. All document libraries and folders in the site are also deleted.
View Site Click this option to display the site in Windows SharePoint Services (WSS).
Title Enter the name for this site.
URL When you enter the site name, the URL address of this site displays. It is created within a SharePoint site in the server specified on the Document Management tab of the General System Settings form.

Document Libraries Grid

Field Description
Insert Click this option to add a new document library to the selected site.
Delete Click this option to remove the selected document library from this site permanently. All folders and documents in this library are also deleted.
View Library Click this option to display the selected library in Windows SharePoint Services (WSS).
Title Enter the name for this new document library.
All Info Centers

Select this option if the document library should be available from the Document Management tab in all available Info Centers (all but Accounts and Units). If this option is selected, <all info centers> displays in the next field, Select Info Centers, and that field becomes disabled.

Do not select this option if the document library should only be available from the Document Management tab in certain Info Centers.

Select Info Centers

This field is enabled if the previous option, All Info Centers, is not selected.

Click to select the Info Centers in which this library should be available. The Info Center Selection dialog box displays. Use the Add and Remove buttons on this dialog box to select Info Centers and click OK. The <options selected> setting displays in the field.

Enabled Select this option to make the document library available in the specified Info Centers in Vision. Leave this option blank to make this library unavailable in all Info Centers, in all of Vision. This is an easy way to turn off a library in Vision, regardless of security and other settings.
Versioning Select this option to enable the document versioning feature in Vision. With versioning enabled, each time a document is checked back in, it is given a new version number. This allows for greater control and a better audit trail since different copies (versions) of the document are retained at check-out and at check-in.

Folders Grid

Field Description
Insert

Click this option to display the Add Folder dialog box, which you can use to add a new folder to the selected document library. Specify if you want to add a child folder or a sibling folder. A child folder becomes a subfolder of the selected folder. A sibling folder is at the same level as the selected folder.

If you add a folder to the main (root) folder, you can only add a child folder. You cannot add a sibling folder to the main folder.

Delete Click this option to remove the selected folder from its document library. All subfolders and documents within this folder are also deleted.
Edit Title Click this option to change the name of the folder on the Add Folder dialog box. You cannot edit the name of the main (root) folder.
View Folder Click this option to display the selected folder in Windows SharePoint Services (WSS).
Title Enter the name of this folder.
Path Enter the path to the folder.
