Purchase Order Detail General Tab

Use the General tab to select report options for the Purchase Order Detail report and to save sets of options for reuse.

Field Description
Report Name You can change the default report name.
Approver

Use this field to limit the purchase orders to those approved by specific approvers. Enter an approver's name, or click to display the Employee lookup dialog box and select one or more employees who are authorized to act as approvers for your firm.

If you use the Multicompany feature, the list of available approvers only includes those for the active company.

Buyer

Use this field to limit the purchase orders to those for specific buyers. Enter a buyer's name, or click to display the Employee lookup dialog box and select one or more employees who are authorized to act as buyers for your firm.

If you use the Multicompany feature, the list of available buyers only includes those for the active company.

Ship-To Use this option to limit the purchase orders included on the report to those assigned a specific ship-to destination. For example, you might generate the report for items to be shipped to your firm's Boston office.
Bill-To Use this option to limit the purchase orders included on the report to those to be billed to a specific bill-to address. For example, you might generate the report for items to be billed to your firm's San Francisco office.
Type

Use this option to limit the open purchase orders included on the report based on purchase order type.

Select one of the following:

  • Standard — Standard purchase orders authorize a purchase of one or more individual line items from a single vendor, with a stated quantity, terms of delivery, and purchase price.

  • Service — Service purchase orders authorize the purchase of services from a single provider, up to a stated amount of money and for a stated period of time. The line items on a service purchase order are hours and rates rather than quantities and prices.

  • Blanket — Blanket purchase orders authorize as many purchases from a single vendor as necessary, up to a stated amount of money and for a specific period of time. You can create an unlimited number of releases against a blanket purchase order, as long as the total cumulative monetary amount does not exceed the amount specified on the blanket purchase order. A blanket purchase order does not create committed expenses until releases are generated for it.

Item Number

Use this field to limit the purchase orders included on the report to those for a specific item or set of items. Enter an item number, or click to display the Lookup dialog box and select one or more items.

If you use the Multicompany feature, the list of available items only includes those for the active company.

Category Use this option to limit the purchase orders included on the report to those assigned a specific category (for example, Furniture, Data, Phone, or Supplies).
Vendor

Use this field to limit the purchase orders to those for a specific vendor or set of vendors. Enter a vendor's name, or click to display the Vendor lookup dialog box and select one or more vendors.

If you use the Multicompany feature, the list of available vendors only includes those for the active company.

Closed Only Select this check box to limit the purchase orders included on the report to those with the Closed status.
Include All Select this check box to include both vouchered and unvouchered items.
Include Unvouchered Items Only Select this check box to limit the purchase order items to those not yet included on vouchers.
Include Vouchered Items Only Select this check box to limit the purchase order items to those included on vouchers.
Show Vendor Address Select this check box to display the vendor's address on the report.
Show Top Clauses Select this check box to display the top clauses for the purchase orders.
Show Bottom Clauses Select this check box to display the bottom clauses for the purchase orders.
Show Agreement

Select this check box to display the following information from the Agreement tab of the Purchase Orders form:

  • Whether excess receiving is allowed.

  • If excess receiving is allowed, the allowable excess percentage or amount.

  • For blanket and service orders, the agreement's duration and "Not to Exceed" amount.

Show Billing Information Select this check box to display information from the Billing tab of the Purchase Orders form.
Show Extra Notes

Select this check box to display the extra notes specified for the purchase requisition or request for price quote on which the purchase order is based.

You enter extra notes on the Notes tab of the Purchase Requisition Line Detail dialog box or the Request for Price Quote Line Detail dialog box.

Show Internal Notes

Select this check box to display internal notes on the report.

You enter internal notes on the Notes tab of the Purchase Requisition Line Detail dialog box or the Request for Price Quote Line Detail dialog box.

Show Cost Distributions

Select this check box to display cost distribution columns.

The cost distribution columns show how costs are distributed to projects, phases, and tasks. More than one project can share the cost of a requested item. In that case, the report displays the percentage of the overall cost distributed to each project, phase, or task.

Show Ship To Select this check box to display the ship-to addresses for the items.
Show Reason for Changed/ Cancelled Orders Select this check box to display the reason for a change or cancellation.
Status To limit the purchase orders included on the report based on their status (such as Approved or Rejected), select one or more of these check boxes.
