Floor Check Dialog Box

If you are responsible for making sure that employee time entry is completed on time, you can display the Floor Check dialog box from the Timesheet form to review the status of time entry for your employees for a timesheet period or for a specific day.

The option to perform a floor check is only available if you have Group, Company, or System access to the Timesheet application.

Location

To display the dialog box, complete the following steps:

  1. From the Vision Navigation menu, click Time and Expense > Timesheet.
  2. If the Timesheet Period Selection dialog box displays, select the timesheet period that you want to open.
  3. On the Timesheet toolbar, click Employees > Floor Check.

Field Description
Labor Period Ending If the date in this field is not the end date of the period you want to do the floor check for, select the correct date.
Week number/Timesheet period number If timesheet period numbers are enabled for the active company, this unlabeled field displays the period number for the currently selected timesheet period.

If timesheet period numbers are not enabled, this field is not displayed.

Time Frame Select either By Timesheet Period or By Day to indicate if you want to do a floor check for the entire timesheet period or only for a specific date in the period.

If you select By Day, select the date in the second Time Frame field.

Group To display in the grid only those employees who are assigned to a specific timesheet group, select the timesheet group in this field.
Employee To filter the list of employees based on employee ID, name, or other employee data, do a Quick Find in Employee or click to display the Employee Lookup and do a Standard or Advanced search.

For example, if you have employees who must enter their time every day, you could set up a user-defined field in the Employee Info Center that you use to identify those employees. On the Employee Lookup, you could then search for and select those employees for the floor check based on that user-defined field value.

Only Employees with less than expected hours To limit the list to only employees who have less than the expected hours for the timesheet period or day (based on Hours/Day in the Employee Info Center), select Only Employees with less than expected hours.
Status Totals To filter the list based on timesheet status, select the check boxes under Status Totals for the statuses that you want to include.

Grid Toolbar Options

Field Description
Grid Drop-Down Menu

Click the drop-down arrow on a grid header to complete any of the following actions:

  • To print grid data, click Print. On the Print Preview form, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the grid data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into the field, in the sequence that you want them to display.

Not all options are available on all grids.

Select All Click this option to select all rows in the grid for further processing (to send an email to all of the employees, for example).
Deselect All Click this option to clear all selected check boxes in the Select column of the grid.
Refresh Click this option to update the information in the grid to reflect the current Vision data.
Timesheet Detail Click this option to generate a Detailed Timesheet report. Select the check box in the Select column for each of the employees you want to include on the report. (No revision audit information is included on the report when it is generated from this dialog box.)
Timesheet Summary Click this option to generate a Summarized Timesheet report. Select the check box in the Select column for each of the employees you want to include on the report. (No revision audit information is included on the report when it is generated from this dialog box.)

Grid Columns

Field Description
Select Select this check box to select the grid row for further processing (to send an email to the employee, for example).

To select all rows, click Select All on the grid toolbar.

Employee This column displays the employee's employee number.
Employee Name This column displays the employee's name.
Group If the employee is assigned to a timesheet group, this column displays that group.
Status This column displays the status of the employee's timesheet for the timesheet period (for example, Missing or In Progress).
Expected Hours If you select By Timesheet Period in Time Frame, this column displays the number of hours that the employee is expected to work in the timesheet period: Hours/Day from the Employee Info Center × Number of work days in the timesheet period.

If you select By Day in Time Frame, this column does not display.

Hours Per Day If you select By Day in Time Frame, this column displays the number of hours per day that the employee normally works (Hours/Day from the Employee Info Center).

If you select By Timesheet Period in Time Frame, this column does not display.

Hours Entered If you select By Timesheet Period in Time Frame, this column displays the total number of regular hours that the employee has entered on his or her timesheet for the timesheet period.

If you select By Day in Time Frame, this column displays the total number of regular hours that the employee has entered on his or her timesheet for the day specified in the second Time Frame field.

Last Saved This column displays the last date and time that the employee saved his or her timesheet.

Dialog Box Buttons

Field Description
Send Email Click this button to display the Email Employees from Floor Check dialog box and send email alerts related to the timesheets. Select the check box in the Select column for each of the employees that you want to receive an alert.
Open Timesheet Click this button to open employee timesheets. Select the check box in the Select column for each of the employees for whom you want to open the timesheet.
Close Click this button to close the Floor Check dialog box.
Help Click this button to display a help topic for the Floor Check dialog box.
