Print Expense Reports for Multiple Employees

You can print expense reports for multiple employees at once. Each employee's timesheet data prints on a separate page. If Print Supporting Documents is selected on the Print menu on the Select Expense Report dialog box, any supporting documents associated with the expense report are included also.

To print expense reports for multiple employees, complete the following steps:

  1. Open an expense report.
  2. Click Employees. Vision displays the Select Expense Report dialog box.

    By default, the Select Expense Report dialog box displays a list of expense reports for all employees in your assigned groups, and the status of those expense reports.

  3. To change the default display, complete one or more of the following steps.
    • Enter an employee number in the Employee field to display expense reports for a single employee.
    • Use the drop-down list in Group to display expense report information for a specific employee group.
    • Clear the Status Totals option for any expense status that you do not want to display.
  4. Press the CTRL key on your keyboard and click the grid rows that contain the employee expense reports that you want to print.
  5. If you want to include supporting documents with the expense reports, click Print and select Print Supporting Documents. The Enable FILESTREAM option must be selected on the General tab of the Weblink utility in order to print supporting documents. If the Enable FILESTREAM option is not selected, then this option will not be visible.
  6. Complete one of the following steps:
    • Click Print > Summarized Report to print Summarized Expense Reports for the selected expense reports.
    • Click Print > Detailed Report to print a Detailed Expense Report for the selected expense report.
    If no supporting documents are included, Vision displays the reports on the Preview page. If supporting documents are included, the reports are generated and displayed as a .PDF document.
  7. When the reports display, click to display the Print dialog box, where you can do the following:
    • Select the paper size and source.
    • Select the number of copies that you want to print.
    • Select the printer.
    • Print the reports.
