Workflow for Creating and Linking Projects/Jobs Between Vision and TrafficLIVE

Projects/jobs can be linked between Vision and TrafficLIVE when you run the TrafficLIVE web service.

The following table provides the workflow for creating and linking projects/jobs between Vision and TrafficLIVE:

Step Description Location/Notes
1. In TrafficLIVE, create new projects/jobs.

In TrafficLIVE create new jobs in Menu > jobs > new job.

  • Enter the required information for the jobs.
  • Set the job system status to In Progress, so that users can resource the jobs and employees can start entering time against the jobs.

Before you run the TrafficLIVE web service in Vision and send a new TrafficLIVE job to Vision, you must complete the following in TrafficLIVE:

  • Create tasks for a job.
  • Set the job user status to Ready to Export.
  • Set the job system status to Draft or In Progress.
2. In Vision, run the TrafficLIVE web service so Vision will receive new projects/jobs from TrafficLIVE.

In Vision, click Utilities > Advanced Utilities > TrafficLIVE Web Service:

  1. On the General tab, select the Projects/Job check box in the Received from TrafficLIVE section.
  2. On the TrafficLIVE Web Service form toolbar, click the Run or Schedule option to start the web service now or schedule it to run at a later time.
    • Vision will receive new projects/jobs from TrafficLIVE with a job user status of Ready to Export and a job system status of Draft or In Progress.
    • These projects/jobs are exported into the Vision Project Info Center. The project/job records in Vision and TrafficLIVE are now linked.
    • The job user status is changed to Linked to Vision (LINKED) in TrafficLIVE.
3. In Vision, throughout the life of the project/job, complete and modify project/job records that are linked with TrafficLIVE.

In Vision, in the Project Info Center (Info Center > Projects), accounting personnel complete the required fields before the project/job becomes available for processing timesheets and expenses.

You can set up a user-initiated workflow in Vision (Configuration > Workflow > User Initiated Workflows) to have an email message sent to the person who needs to complete other fields for the linked projects/jobs in the Project Info Center. The user initiated workflow can be based on the TrafficLIVE ID field in the Vision Project Info Center.

Only certain fields that you change for a project/job can be updated in TrafficLIVE when you run the TrafficLIVE web service. Those fields are listed in the drop-down list in the Vision Field field in the Fields to Sync grid on the General tab of the TrafficLIVE Web Service form.

4. In Vision, throughout the life of the project/job, run the TrafficLIVE web service to update linked project/job records in TrafficLIVE with the changes made in Vision.

In Vision Utilities > Advanced Utilities > TrafficLIVE Web Service:

  1. On the General tab:
    1. Select the Sync from Vision to TrafficLIVE check box.
    2. In the Fields to Sync grid, insert a row for the Project Info Center and in the Vision Field field, select the field from the project/job record in Vision to update in TrafficLIVE.
    3. Repeat step 1.b. for other fields that you want to update in TrafficLIVE.
  2. On the TrafficLIVE Web Service form toolbar, click Run or Schedule on the toolbar to run the web service now or schedule it to run at a later time.

    It updates the projects/jobs record in TrafficLIVE with the changes made in Vision.

For projects/jobs, most fields, with the exception of Task Name, can be updated only at the project/job level but not at lower work breakdown structure levels.
