General Tab of the Tax File Generation Form

Use the General tab of the Tax File Generation form to select a file format and enter the output criteria for the tax file that you are creating.

Only the options that are appropriate for the file format that you select in the File Format field are enabled on this tab.

Fields

Field Description
Saved Options If you or other users previously saved global or personal settings for this tab (using the Organize button on this tab), click beside this field to select a set of saved settings. These settings prefill on the tab, which saves you the time of manually entering them again each time that you want to generate a certain tax file. From the drop-down list in the Saved Options field, you can select settings from a Global Options folder (saved settings that are available to all Vision users) or a Personal Options folder (saved settings that you created and which only you can access).
Organize Click this button to open the Organize Options dialog box and save the settings that are currently entered on this tab for future use. Later, when you want to generate the tax file again, you can select the saved settings from the Saved Options field.
Default Click this button if you modified the settings on this form and you now want to return them to the original default settings provided by Vision.
File Format From the drop-down list, select the file format for the tax file that you want to generate.
Options are:
  • Intra EU Community XML
  • Belgium Client Listing XML
  • VAT Declaration XML
  • German ELSTER File — This generates a monthly VAT tax return file.

After you select a file format, only the appropriate fields that apply for that format are enabled on the General tab.

Tax Code Select the tax codes to include in the file. The default entry in this field is <all tax codes>. To select one or more tax codes, click beside the field to open the Tax Code Lookup and select the tax codes to include in the file. Only tax codes with an Active status are included in the Tax Code Lookup.

Time Frame Section

Only the options that are appropriate for the file format that you select in the File Format field are enabled in this section.

Field Description
Time Frame Select the time period for the tax file. Options are:
  • Current Period — Select this option to generate the file for the accounting period that is currently open.
  • Year to Date — Select this option to generate the file for the current fiscal year, through the current accounting period.
  • Range of Periods — Select this option to generate the file for a range of accounting periods. Select accounting periods from the drop-down lists, or enter them in mm/yyyy format.
  • Range of Dates — Select this option to generate the file for a range of dates. Enter the start and end dates, or click and select the dates.

Selections Section

Only the options that are appropriate for the file format that you select in the File Format field are enabled in this section. The selections that you make here determine the transactions that are included in the tax file.

Field Description
Use Originating Vendor This check box applies only if the Enable Originating Vendor for Employee Expenses and AP Vouchers check box is selected on the Tax Auditing tab in Configuration > Accounting > Company Settings.

Select this check box to generate the tax file based on the originating vendors rather than the real vendors entered for the transactions. Any tax data for the real vendors will instead be applied to the originating vendor that is associated with the transaction. (The Originating Vendor feature is an optional feature that allows you to enter originating vendors for line items for accounts payable vouchers, accounts payable disbursements, and employee expenses that are entered in the Transaction Center, and for expense reports that are entered in Time & Expense.)

Vendor Select this check box to include tax data for accounts payable/vendor transactions in the file. Then click in the field beside the check box to open the Vendor Lookup and select one or more vendors to include in the file.
Employee Select this check box to include tax data for employee expense and expense report transactions in the file. Then click in the field beside the check box to open the Employee Lookup and select one or more employees to include in the file.
Project Select this check box to include tax data for a project's invoice transactions in the tax file. Then click in the field beside the check box to open the Project Lookup and select one or more projects whose associated billing clients you want to include in the file.

Fields

Field Description
Cash Basis Reporting This check box is enabled only if the Cash-Basis Reporting check box is selected on the Reporting tab in Configuration > Accounting > System Settings.

Select this option to generate the tax file with cash-basis accounting amounts.

Report in This field applies if you use the Multicurrency feature. From the drop-down list, select the currency in which to display net amounts, tax basis amounts, and tax amounts in the file.
Options are:
  • Transaction Currency — When you choose this option, the amounts in the tax file are in the currency that is associated with the individual transactions. Use the Currency field to indicate whether you want to include all currencies or only selected currencies. Vision then limits the transactions in the file to those with the specified transaction currencies.
  • Functional Currency — When you choose this option, the amounts in the tax file are in the functional currency of the active company.
  • Tax Currency — This option is available only if Tax Auditing is enabled for the active company (on the Tax Auditing tab in Configuration > Accounting > Company Settings). When you choose Tax Currency, the amounts in the tax file are in the currency that is specified for the tax code on the Tax Codes form in Configuration > Accounting > Taxes. Normally, this is the currency in which the tax is reported and paid to the taxing authority.
Currency If you use the Multicurrency feature and you select Transaction Currency in the Report in field, use this field to indicate whether you want to include all currencies or only selected currencies. Vision then limits the transactions in the file to those with the specified transaction currencies. Click beside this field to display the Currency Lookup and select the currencies.

Tax File Specific Variables Section

Only the fields and options that are appropriate for the file format that you selected in the File Format field are displayed or enabled in this section. Enter the appropriate information for the file format that you selected.

Field Description
Period This field displays when you select Intra EU Community XML in the File Format field.

To produce a monthly report — Enter the month as a two-digit number. For example, enter 01 for January, 02 for February, and so on.

To produce a quarterly report — Enter the number 3 followed by the quarter. For example, enter 31 for the first quarter, 32 for the second quarter, and so on.

Sequence
Gross >= and Gross<= These two fields display when you select Belgium Client Listing XML in the File Format field.

These fields determine which Belgian client's will be included in the tax file, based on the total gross amount of all of a client's invoices for the time period and other criteria that you enter on this tab.

  • Gross >= — Enter the total gross invoice amount above which a client will be included in the tax file. To be included in the tax file, a client's total gross invoice amount must be greater than or equal to the amount that you enter in this field.
  • Gross <= — Enter the total gross invoice amount below which a client will be included in the tax file. To be included in the tax file, a client's total gross invoice amount must be less than or equal to the amount that you enter in this field.

Enter a negative number with a – (negative sign) in front of it, such as –250.00.
