Two Levels of Account Groups for Customizing General Ledger Reports

If you set up both summary and detail account groups in the Accounts Info Center, you have formatting options for your general ledger reports. For example, if you set up two levels of account groups, you can generate general ledger reports with the financial statement layouts used in the United Kingdom.

Account Group Names

For each account group, you select a group type: Asset, Liability, Net Worth, Revenue, and so on. The group type controls where the account group displays in the general ledger reports.

If you use both summary and detail account groups, the group type of the summary account group overrides the group types of the detail account groups.

Account Group Tables

You establish the start account and end account for each account group in detail account group tables.

You can set up two levels of account group tables: summary and detail. Think of the summary account group table as the "parent" of the corresponding detail account group tables. For example, you could create the following:

  • A summary account group table: Short Term Assets

  • A set of detail account group tables associated with the Short Term Assets table: Current Assets, Receivables, and Prepaid Expenses. (Each detail account group is associated with one or more general ledger accounts.)

You can select an account group table for a general ledger report in Group Table on the General tab of the Options dialog box. If you selected the Short Term Assets account group table from the example above, the report would include data for all of the accounts linked to the detail account group tables associated with that summary account group table.

Options to Control Report Format

When you set up an account group table, you specify the following for each detail account group table included in it:

  • Whether or not the detail account group displays under the summary account group on your general ledger reports. The setting in the Account Group Table Info Center overrides the corresponding setting on the Sorting/Grouping tab in the Options dialog box for the report.

  • Whether or not the Balance Sheet, Income Statement, and Profit Planning Monitor reports include subtotals for the detail account group.

  • Whether or not the detail account group table is excluded from report totals on the Balance Sheet, Income Statement, and Profit Planning Monitor reports. (This makes it possible to display subtotals that are not also included in the totals.)

When you generate a Balance Sheet, Income Statement, or Profit Planning Monitor report, you can specify whether or not the account number is displayed. If you hide the account number, Vision sorts the data by account number but displays the account name in place of the account number.

Account Analysis and Trial Balance Reports

The Account Analysis report and the Trial Balance report do not display data at the summary account group level.
