Named Resource Tab of the Resource Search Dialog Box

Use the Named Resource tab to search for employees to assign to WBS elements in your plan. In doing so, you may also set minimum availability percentages for a set of dates, or search for under-utilized or over-utilized employees.

You can use conditional operators such as OR and AND in the Additional Search Criteria fields to concatenate the criteria.

Search Buttons

Field Description
Buttons

Use these buttons after you enter all search criteria.

  • Click Search to execute the search after entering all criteria. Matching resource information displays in the Results grid at the bottom of this form.

  • Click Clear to clear the settings currently displayed and restore the default settings for the tab.

  • Click Organize to display the Organize Options dialog box, on which you can save a set of search criteria under a name of your choosing. Use the saved search in future planning sessions.

Searches Use this option to select an existing saved search from this field. Click the arrow at the right side of the field to display the Saved Searches dialog box.

Availability Grid

Field Description
Commitment

From the drop-down list, select the degree of commitment you are seeking: 100%, 75%, 50%, 25%, 5%, Under Used, or Over Used.

For example, if you select 75% involvement, this indicates that the search should look for employees who have 75% or more of their time free during the time period you specify below.

  • Select Under Used to search only for resources whose overall utilization during the period specified in Start Date and End Date is less than their utilization ratio.

  • Select Over Used to search only for resources whose overall utilization during the period specified in Start Date and End Date exceeds their utilization ratio.

This field directly affects the Search General Calendar and Search Plan Project Calendar options on this form.

You must specify commitment and dates before you can use either or both of the search calendar options.

Start Date Enter the start date for the search or click Calendar and select a date.
End Date Enter the end date for the search or click Calendar and select a date.
Search General Calendar

When you select this option, Vision searches the employee's non-project related calendar (Microsoft Outlook-synchronized Vision employee calendar) for free time based on the commitment percentage selected in the Commitment field.

For example, if you select 50% commitment and select this option, Vision searches the employee's General calendar only for those situations where 50% or more of the employee's non-project time is free.

If you select both this option and the Search Plan Project Calendar option, Vision searches all calendar entries for free time.

Search Project Plan Calendar

Select this option for Vision to search the employee's Project calendar for free time based on the commitment percentage selected in the Commitment field.

For example, if you select 50% commitment and select this option, Vision searches the employee's project plan calendar only for those situations where 50% or more of the employee's project time is free.

If you select both this option and the Search General Calendar option, Vision searches all calendar entries for free time.

Exclude Assignments for Unmapped Plan

Select this option for Vision to exclude all assignments in the plan that do not map to a project from the utilization percentage. This allows you to be on the "high" side of the estimated utilization.

Utilization is the employee's availability at a particular time. You can look at the employee's utilization percentage by day, week, month, or quarter.

Skills Grid

Field Description
Insert Click this option to insert a record on the grid.
Copy Click this option to copy a record.
Delete Click this option to delete a record from the grid.
Skill Select the skill you seek from the drop-down list. The list of skills references the Skills grid on the Experience tab of the Employee Info Center.
Skill Level Select the level for the desired skill. The list of levels references the Skills grid on the Experience tab of the Employee Info Center.
Skill Required Select this option if the skill is required for the employee to be included in the result set.

Additional Search Criteria Grid

Use this grid to enter very detailed criteria for a resource search, including the specific data for the search, an operator for the search, and a sub-list for the search data.

Field Description
Move Up Highlight the grid row and click Move Up to move the record up on the grid.
Move Down Highlight the grid row and click Move Down to move the record down on the grid.
Insert Click this option to insert a record on the grid.
Copy Click this option to copy a record.
Delete Click this option to delete a record.
Search Type From the drop-down list, select a search value such as Name, Number, Title, Organization, or Project.
Operator

From the drop-down list, select a comparative operator. Comparative operators are used in SQL WHERE clauses to select records based on numeric or character values.

This option displays when you click anywhere in the Operator field.

Search List

Click inside the Search List field to display the Search icon, and then click on that icon to display a dialog box that corresponds to your Search Type selection.

For example, if you set Search Type to Organization, click Search in this field to display the Organization lookup.

Conditional Select one of the logical operators, AND or OR.
