General Tab of the TrafficLIVE Web Service Form

Use the General tab to specify the type of new records to link and the fields to update between Vision and TrafficLIVE before you run the TrafficLIVE web service.

You also review the TrafficLIVE web service call log on this tab.

The fields on this tab are enabled only after you select the Enable TrafficLIVE Web Service check box on the Configuration tab of the TrafficLIVE Web Service form.

After you select the type of new records to link and the fields to update, you run or schedule a TrafficLIVE web service job using the Run or Schedule options on the TrafficLIVE Web Service Form toolbar.

Send to TrafficLIVE Section

Select the type of new records to send from Vision to TrafficLIVE when you run the TrafficLIVE web service.

Field Description
Employees Select this check box to send new employees entered in the Employee Info Center in Vision to TrafficLIVE when you run the TrafficLIVE web service. New employees in TrafficLIVE are not sent to Vision.

If an employee has been sent from Vision to TrafficLIVE and then the employee's data is updated in Vision, you can update the employee information in TrafficLIVE with those changes. To do this, you select the Sync from Vision to TrafficLIVE check box and the fields to update on the General tab before you run the TrafficLIVE web service.

Select Employees This field is enabled when you select the Employees check box. It prefills with All Employees. Use the Employee lookup in this field to select one or more employees whose records you want to send from Vision to TrafficLIVE when you run the TrafficLIVE web service.
Organizations This check box displays if you have set up organization codes for your company.

Select this check box if you want to send the organization levels from Vision that are mapped to company location and department in TrafficLIVE when you run the TrafficLIVE web service. You usually send organizations from Vision to TrafficLIVE once when you initially set up Vision and TrafficLIVE integration. (You set up the mapping for this on the Mapping tab of the TrafficLIVE Web Service form.) New locations and departments are created in TrafficLIVE from the Vision organization levels only if the organization levels in Vision are active (not inactive or dormant). Location and department are required for employees in TrafficLIVE. You can run the TrafficLIVE web service to send organizations from Vision to TrafficLIVE on a regular basis to check for any new organization values.

Select Organizations for Location This field is enabled when you select the Organizations check box. Use the Organization lookup in this field to select one or more organization levels in Vision that are mapped to location in TrafficLIVE to send to TrafficLIVE. For example, you may want to send profit centers from Vision to TrafficLIVE but not cost centers.
Select Organizations for Department This field is enabled when you select the Organizations check box. Use the Organization lookup in this field to select one or more organization levels in Vision that are mapped to department in TrafficLIVE to send to TrafficLIVE.
Billing Labor Transfer Select this check box to send billing labor transfers from Vision to linked projects/jobs in TrafficLIVE when you run the TrafficLIVE web service.

Receive from TrafficLIVE Section

Select the type of new records for Vision to receive from TrafficLIVE when you run the TrafficLIVE web service.

Field Description
Audit User Enter a user name that will identify who created new projects/jobs when the TrafficLIVE web service is run. You can enter any text (character or numbers, but not symbols) in this field.

You will see this user name when you mouse over a project/job number at the top of the Project/Job form in the Vision Project Info Center if Vision received the job from TrafficLIVE. For example, if you enter TrafficLIVE in the Audit User field, "TrafficLIVE" will be listed in the mouse-over text box for a project/job number in the Project Info Center if Vision received the project/job from TrafficLIVE.

On the Project Audit Detail report, the user who is listed on the report as having created or modified a project/job that Vision received from TrafficLIVE is the username of the employee who ran the TrafficLIVE web service, not the user name entered in the Audit User field. The Project Audit Detail report is in Reporting > Projects.

Projects/Jobs Projects in Vision are equivalent to jobs in TrafficLIVE. The label for this check box in Vision is normally Projects. If you changed its system label to Jobs to match TrafficLIVE's terminology, the label is Jobs. (You change the system label in Vision on the Labels tab in Configuration > General > System Settings.)

Select this check box if you want Vision to receive new projects/jobs from TrafficLIVE. New projects/jobs from Vision are not sent to TrafficLIVE. The projects/jobs from TrafficLIVE are imported into the Vision Project Info Center.

If Vision has received a project/job from TrafficLIVE and then someone updates the project/job's data in Vision, you can automatically update the project/job information in TrafficLIVE with those changes. To do this, on the General tab you select the Sync from Vision to TrafficLIVE check box and in the Fields to Sync grid select the fields to update before you run the TrafficLIVE web service.

In addition to new projects/jobs brought into Vision, new stages and tasks that are added to existing linked projects/jobs in TrafficLIVE are also brought into Vision when you select the Projects/Jobs check box and run the TrafficLIVE web service.

Timesheets Select this check box if you want Vision to receive timesheets from TrafficLIVE. New timesheets in Vision are not sent to TrafficLIVE.

The timesheets are imported into the Vision Transaction Center. You review the imported timesheet data entry files in Transaction Center > Transaction Entry. Then you post the data file in Transaction Center > Transaction Posting.

When you select the Timesheets check box, the field below the check box is enabled. From the drop-down list in this field, select one of the following:

  • Signed Off: Select this option if you want Vision to receive timesheets with a status of Signed Off from TrafficLIVE. The sign off for these timesheets is usually done by an employee's manager/supervisor in TrafficLIVE. Timesheets that have a Signed Off status have Yes entered in the Signed Off field in TrafficLIVE Menu > manage agency > Timesheet search.
  • Ready for Export: Select this option if you want Vision to receive timesheets with a status of Ready to Export from TrafficLIVE. The sign off for these timesheets is usually done by a timesheet administrator and provides a second level of approval before timesheets are imported to Vision. Timesheets that have a Ready for Export status have Yes entered in the Ready for Export field in TrafficLIVE Menu > manage agency > Timesheet search.
Diary This field displays if you use diaries in Vision. (You set up diaries in Accounting System Settings Configuration.) This field is enabled when you select the Timesheet check box.
From the drop-down list, select the default diary to use for timesheets that Vision receives from TrafficLIVE. The diary is updated when the timesheet data entry file is created in Vision.

Sync from Vision to TrafficLIVE Select this check box if you want to synchronize and update specific fields in TrafficLIVE for linked projects/jobs and/or employees that have been modified in Vision. Only certain fields that you change can be updated in TrafficLIVE. You select these fields to synchronize in the Fields to Sync grid below this check box. For projects/jobs, most fields, with the exception of Task Name, can be updated only at the project/job level but not at lower work breakdown structure levels. Changes made to linked projects/jobs or employees in TrafficLIVE do not get updated in Vision during the synchronization.

Field to Sync Grid

This grid is enabled when you select the Sync from Vision to TrafficLIVE check box. Use this grid to specify the project/job and/or employee fields to update in TrafficLIVE for linked records that were modified in Vision.

Field to Sync Drop-Down

Click the drop-down arrow on a grid header to complete any of the following actions:

  • To print grid data, click Print. On the Print Preview form, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the grid data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into the field, in the sequence that you want them to display.

Not all options are available on all grids.

Insert Click this option on the grid toolbar to add a row to the grid and enter a project or employee field to update in TrafficLIVE.
Delete Select a row in the grid to delete, and then click this option on the toolbar to delete the row.
Info Center From the drop-down list, select which type of record from the Vision Info Center you want to synchronize between Vision and TrafficLIVE. Options are Employees and Projects. The synchronization updates the linked record in TrafficLIVE with any changes made to the record in Vision.
Vision Field From the drop-down list in this field, select the employee or project/job field from Vision to update in TrafficLIVE.
TL Field When you select a field in the Vision Field field, its matching (mapped) field in TrafficLIVE displays in the TL Field. This is the TrafficLIVE field that will be updated with the changes that were made to the record in Vision.

TrafficLIVE Web Service Call Log Grid

This grid displays a log of the completed, pending, and failed TrafficLIVE web service jobs.

Clear Log Select this option on the toolbar to clear the TrafficLIVE web service jobs that have a status of complete or failed. You cannot clear pending jobs that are scheduled to run.
Status This column indicates whether a TrafficLIVE web service job is pending, has failed, or has been completed.
Started This column displays the date and time when a TrafficLIVE web service job has started.
Finished This column displays the date and time when a TrafficLIVE web service job has finished.
Submitter This column displays the user who initiated or scheduled the TrafficLIVE web service job.
Message Click the hyperlink in this field to open the Text Viewer dialog box and view details about the TrafficLIVE web service job. Information on the dialog box includes the number of records sent or received, synchronization information for updated fields, any error messages, and so on.
