Linking Timesheets Between Vision and TrafficLIVE

If Vision and TrafficLIVE integration has been enabled and configured, Vision can receive new timesheets from TrafficLIVE when you run the TrafficLIVE web service.

After timesheets are received in Vision, they are considered to be "linked" between Vision and TrafficLIVE.

What You Need to Know About Linking Timesheets Between Vision and TrafficLIVE

The following information applies to linking timesheets between Vision and TrafficLIVE using the TrafficLIVE web service:

Item Description
Where to create new timesheets New timesheets that you create in TrafficLIVE can be linked with Vision when you run the TrafficLIVE web service. However, new timesheets created in Vision cannot be linked with TrafficLive when you run the TrafficLIVE web service.
Linked timesheets require linked project/jobs Before Vision can receive new timesheets from TrafficLIVE that have time applied to a project/job, the project/job must be sent from TrafficLIVE to Vision using the TrafficLIVE web service. Then, in the Vision Project Info Center, you must complete the fields that are required for timesheet entry for the linked project/job before timesheets applied to the project/job can be sent from TrafficLIVE to Vision.
Timesheet status and date Before new TrafficLIVE timesheets can be linked to Vision using the TrafficLIVE web service, the timesheet line items in TrafficLIVE must have both of the following in Menu > manage agency > timesheet search:
  • A Signed Off or Ready for Export status (the Signed Off or the Ready for export check box for a timesheet line item is selected).
  • A date in the End Time field for a timesheet line item that is on or before the end date of the current fiscal period in Vision. This ensures that future timesheet records (perhaps for vacation time that is entered for next month) are not posted in Vision too early.

After a new timesheet from TrafficLIVE is sent to Vision, its status is changed to Exported in TrafficLIVE. The Exported field in Menu > manage agency > Timesheet search is automatically changed to Yes.

Vision timesheet data file

Timesheets that are sent to Vision are imported into the Vision Transaction Center.

  • The timesheet data file that is created in Vision when you run the TrafficLIVE web service will be created in the most current open fiscal period in Vision.
  • The start date and end date on the data file can help you identify whether a file has transactions outside the expected timeframe (period).
  • After you send new timesheets from TrafficLIVE to Vision, if you delete a timesheet data entry file in the Vision Transaction Center in error before you post it, you can re-send the new timesheets from TrafficLIVE to Vision. To do this you need to manually change the timesheet status to Ready to Export. Then you can run the TrafficLIVE web service in Vision to resend timesheet records.
Multiple companies in Vision If you have multiple companies set up in Vision:
  • When you run the TrafficLIVE web service, the data entry file for the new timesheets is created for the active company in Vision. This is the company that you selected when you logged into Vision and ran the TrafficLIVE web service.
  • It is possible to associate employees with more than one company in Vision. If an employee is associated with multiple companies in Vision, only the home company record for the employee is affected when you link timesheets between Vision and TrafficLIVE.
Changes to linked timesheets

In Vision, you can make changes to posted timesheets that are linked to TrafficLIVE by entering billing labor transfers. The linked timesheets in TrafficLIVE are updated with the Vision billing labor transfers when you run the TrafficLIVE web service. For the updating to occur, you must select the Billing Labor Transfer check box in the Send to TrafficLIVE section of the General tab in the TrafficLIVE Web Service utility.

Overtime Overtime is not supported because TrafficLIVE does not track overtime hours or have a different cost for overtime hours.
Export errors If a new TrafficLIVE timesheet caused an error and did not export properly to Vision, you will see the export error added to the timesheet line in TrafficLIVE. You can make any necessary corrections in TrafficLIVE, and then run the TrafficLIVE web service again.
