Billing Labor Transfers for Timesheets that Are Linked Between Vision and TrafficLIVE

After you link a timesheet between Vision and TrafficLIVE and you post the timesheet in Vision, you can make changes to the timesheet in Vision using billing labor transfers.

The billing labor transfers are updated to the linked timesheet in TrafficLIVE when you run the TrafficLIVE web service in Vision. The update will occur in TrafficLIVE if you select the Billing Labor Transfer check box in the Send to TrafficLIVE section on the General tab in Vision Utilities > Advanced Utilities > TrafficLIVE Web Service before you run the TrafficLIVE web service.

You can enter billing labor transfers in Vision to:

  • Change all the hours on a timesheet to a new project/job and task (or stage and task).
  • Move some of the hours on a timesheet to a different project/job and task.

You enter billing labor transfers in Vision in Billing > Interactive Approvals and Billing > Interactive Billing.

Examples

The following table shows examples of timesheets that are entered in TrafficLIVE and sent to Vision, the related billing labor transfer created for the linked timesheet in Vision, and the resulting updates to the original timesheet in TrafficLIVE.

Full Transfer—Move all the hours to a new project/job and task (or stage and task) 8 hours entered for project/job A, task 100 8 hours transferred:
  • From: project/job A, task 100
  • To: project/job B, task 200
  • The original timesheet in TrafficLIVE is updated to 8 hours for project B, task 200.
  • A new audit record is associated with the timesheet line for the adjustment.
Partial Transfer—Move some hours to a different project/job and task 8 hours entered for project/job A, task 100, charge band Designer 3 hours transferred:
  • From: project/job A, task 100, charge band Designer
  • To: project/job B, task 200, charge band Designer
  • The original timesheet in TrafficLIVE is updated to 5 hours for project A, task 100, charge band Designer.
  • A new audit record is associated with the timesheet line for the adjustment.
  • A new timesheet is created in TrafficLIVE for 3 hours for project/job B, task 200, charge band Designer.

Billing Labor Transfers and Labor Code Levels and Charge Bands

TrafficLIVE charge bands are equivalent to Vision's level 1 labor code. (You map the specific TrafficLIVE charge bands to the specific Vision level 1 labor codes in TrafficLIVE in Menu > admin > charge bands. For each charge band, you enter the corresponding Vision level 1 labor code in the External Code field.)

In TrafficLIVE, each task is associated with only one charge band. In Vision, the TrafficLIVE charge band that corresponds with the level 1 labor code for a task for a linked project/job displays in the TrafficLIVE Charge Band field on the Budget & Revenue tab in the Project Info Center.

For linked timesheets between Vision and TrafficLIVE, when you enter billing labor transfers in Vision and transfer labor to another task on an existing project/job or to another task on a new project/job and task:
  • The project/job that you are transferring labor to must exist in Vision (it has already been sent from TrafficLIVE to Vision using the TrafficLIVE web service).
  • The TrafficLIVE charge band for the task that you are transferring to is retrieved from the TrafficLIVE Charge Band field on the Budget & Revenue tab in the Vision Project Info Center by default.
  • When linked timesheets in TrafficLIVE are updated with the billing labor transfers from Vision, all labor transfers, regardless of billing status, are updated in TrafficLIVE.
  • Billing labor transfers that have labor that did not originate from TrafficLIVE do not get updated in TrafficLIVE when you run the TrafficLIVE web service. For example, if a labor record is added in Vision as an insert in Billing > Interactive Billing, it does not get updated to the task in TrafficLIVE.
