Employees With JTD Who Are Missing From Plan Dialog Box

An employee can have job-to-date (JTD) charges for a project but may not be assigned to the associated plan's Work Breakdown Structure (WBS). This results in a discrepancy because the employee is not listed as a resource in the plan's WBS even though the employee's JTD charges are included in the plan's totals.

The Labor Tab of Project Planning displays the impacted WBS levels in red text to indicate that:
  • There are unassigned employees
  • The JTD charge amount at the WBS level does not match the sum of the JTD amounts for the rows beneath it
When this occurs, right-click at the project WBS level to see a shortcut menu that includes the Missing JTD Employees option. This option displays the Employees With JTD Who Are Missing From Plan dialog box, which lists the employees that have JTD charges on the project but no associated assignment rows on the project's plan at any mapped WBS level that corresponds with the timesheet charge.

You can use this dialog box when the following conditions are met:

  • There are missing assignment rows
  • Your security rights allow access to the plan
  • The plan is not checked out to another user. If it is checked out, the dialog box is read-only.

When you open the dialog box from the plan's project WBS level, you can choose the individual employees that you want to insert into specific mapped levels of the plan's WBS. Using the Plan WBS Level to Add Assignment Row Under drop-down list, you can select from all mapped WBS plan levels that correspond to the timesheet charge and that are included in JTD Matching. When you click the Add Assignment Rows button, Vision adds the employee as the last resource under the WBS level that you selected. If you do not select a WBS level from the drop-down list, Vision inserts the resource at the lowest level in the drop-down list. You can select Do Not Add in the drop-down list if you do not want to add an assignment row for a JTD charge while adding assignment rows for others. For example, the JTD charge may be assigned to the wrong project, so you should not add an assignment row to the plan.

This dialog box displays timesheet charges that are posted. However, if the Show Unposted Actual Labor option is selected on the General tab of Project Planning, the charges from unposted timesheets are also included. Only the missing JTD charges dated through the current JTD/ETC date are included.

Location

To display the dialog box, complete the following steps:

  1. From the Vision Navigation menu, select Planning > Project Planning.
  2. Select a plan.
  3. Click the Labor tab.
  4. Select the project WBS level (displayed in red) and right-click the small arrow to the left of the row to access the pop-up grid options menu.
  5. Select Missing JTD Employees.

When you open this dialog box, the contents on the grid are sorted in alphabetical order by employee name. You can click any column heading to toggle the sort between ascending and descending.

Field Description
Employee This field displays the name of the employee who does not have an assignment row on the plan but who does have JTD charges for the project on their timesheet. This employee does not have an assignment row at the lowest corresponding WBS level found on the plan that is included in JTD Matching.
Number This field displays the respective employee number.
Work Breakdown Structure on Timesheet This field displays the path to the timesheet's WBS. This path includes all WBS levels that apply to the timesheet.
Plan WBS Level to Add Assignment Row Under Use this drop-down list to select the planned WBS level under which you want to add the assignment row. This list includes all mapped WBS plan levels that correspond to the timesheet charge and that are included in JTD Matching. No unmapped plan levels are included. The results that display in this list are based on the Plan Level and Match JTD selections for the WBS Element on the Default WBS Mapping dialog box. For example, if the Phase and Task WBS elements on the Default WBS Mapping dialog box both have Match JTD selected, then only the phase and task levels are available for a planned WBS level for assigning the employee. Vision defaults to the lowest level, but you can select a different level.

Vision adds the employee's assignment row to the plan as a new row under existing assignment rows for the selected WBS level. If there are multiple rows assigned to the WBS level, Vision inserts the new rows in alphabetical order based on the employee's last name. Each new assignment row inherits the WBS level's respective date range.

For assignment rows that you do not want to add to a planned WBS level, select the Do Not Add option. Any rows with Do Not Add selected will be removed when you close the dialog box.

Timesheet Breakdown Structure Descriptions When you select a row in the grid, this field updates to display the detailed timesheet information for the employee.
Plan Work Breakdown Structure Descriptions When you select a row in the grid, this field updates to display the detailed information for the plan.

Buttons

Field Description
Add Assignment Rows Click this button to add an assignment row for the employee to the WBS level as specified in the Plan WBS Level to Add Assignment Row Under field. This button is disabled if you set all rows in the grid to Do Not Add.
Cancel Click this button to close the dialog box without saving your entries.
