Create a Release for a Blanket Purchase Order

Use a release order to purchase items under a blanket purchase order or to change a blanket purchase order.

One of these rules controls the limit on the amount of the blanket order:

  • The collected Total Amount of all items in all releases for this blanket order is controlled by the Not to Exceed amount, if you specified it on the Agreement tab when creating the blanket order, or

  • The collected Net Amount for each item in all releases for this blanket order is controlled by the item's Net Amount on the Line Items tab of the blanket order.

If you use the Multicurrency feature, the currency in the release order is that of the blanket order.

To create a release for a blanket purchase order, complete the following steps:
  1. From the Vision Navigation menu, select Purchasing > Purchase Orders.
  2. Open the blanket order to change and check the General tab to ensure that the Status for the blanket purchase order is Printed.
  3. Click Process and select Release Blanket PO. Vision displays the following prompt:Release Blanket Order ###?
  4. Click Yes.
  5. In the Description field on the General tab, enter a description of the release.
  6. Click the Line Items tab.

    If you entered data for line items on the Line Items grid when you created the blanket order, this grid displays a copy of the blanket order. Edit the data for the items as needed.

    If you created this blanket order from one or more requisitions or requests for price quote, this grid displays data for the items that you transferred.

    If you did not enter data for line items when creating the blanket order, this grid is empty. Click to add items.

  7. Click Submit to do either of the following:
    • Send the purchase order to an approver if you use approval workflows for approving purchase orders and release orders. (You turn on the use of approval workflows for these in Configuration > Purchasing & Inventory > Company Settings.)
    • Change the purchase order's status from In Progress to Approved, if you do not use approval workflows.
After the release is approved, you can final print it.
