Invoice Accept Dialog Box

You accept final invoices from the Invoice Accept dialog box.

If either Allocate Billed Revenue on Fee Invoices Based on Category or Allocate Billed Revenue on Fee Invoices Based on Transactions is selected on the Fees tab on the Billing Terms form for the project, the grid on the Invoice Accept dialog box may display more than one row with Fee in Invoice Section. When either of those options is selected, fee billing revenue can be allocated and posted to multiple revenue accounts. If that occurs, the grid contains a Fee row for each revenue account to which a fee billing amount has been allocated.

Location

To display the dialog box, complete the following steps:

  1. From the Vision Navigation menu, click Billing > Interactive Billing.
  2. Select the project to bill.
  3. On the toolbar, click Invoice > Accept.

Field Description
Project This field displays the project number to which this invoice applies. The project name displays at the bottom of the dialog box.
Phase This field displays the phase number to which this invoice applies. If more than one phase exists for the invoice, you can scroll through the phases to verify all information by clicking the navigation buttons at the top of the dialog box. The phase name displays at the bottom of the dialog box.
Task This field displays the task number to which this invoice applies. This field is for reference purposes only. If more than one task exists for the invoice, you can scroll through the phases and tasks to verify all information by clicking the navigation buttons at the top of the dialog box. The task name displays at the bottom of the dialog box.
Date This field displays the date specified in Invoice Date field of the Billing Session Options dialog box. The date displays on the invoice and on Accounts Receivable reports.
Insert Click this option to insert an invoice transaction.
Copy Select an invoice transaction and then click this option to make a copy of the transaction.
Delete Select an invoice transaction and click this option to delete it.
Invoice Section This field displays the invoice section name where the amount should appear on the invoice. You should not change a section name if an amount is associated with that section. Doing this can cause the amount to be posted to an incorrect account.
Tax Code Select a tax code to specify the tax rate associated with this invoice entry. The tax rate is multiplied by the amount in the Tax Basis field to obtain the Amount.

This field is only enabled for editing if the Enable tax auditing feature option is selected on the Tax Auditing tab of Accounting Company Settings and the Invoice Section for the line is set to Tax.

Account This field displays the revenue account to which amounts associated with the corresponding invoice section will be posted.

You assign these revenue accounts to the sections of the invoice on the Accounts tab of the Billing Setup form, the Revenue tab of the Accounting Company Settings form (for revenue categories), or the Invoice Override Accounts section on the Misc tab of Billing Terms. Vision automatically posts to the Accounts Receivable account based on the mapping in Invoice Mapping. You can edit the account.

The account name displays at the bottom of the dialog box.

Amount This field displays the total amount to be posted to the invoice section/account. Any changes made to the amount here will not change the actual invoice amount by recalculating.
Retainage This field displays any retainage amount applied to this invoice for this section. Retainage amounts should be entered as negative amounts.

This option is only available if the Enable Retainage option is selected on the General Tab of Accounting System Settings.

Tax Basis This field displays the net amount on which the tax (entered in the Amount field) is based. When you enter a tax code in the Tax Code field and a tax amount in the Amount field, Vision calculates the tax basis.

This field is only enabled for editing if the Enable tax auditing feature option is selected on the Tax Auditing tab of Accounting Company Settings and the Invoice Section for the line is set to Tax.

Retainer Select this option to indicate that the amount shown must be treated as a retainer for the project and invoice.

This option is only available if the Enable Retainers option is selected on the General Tab of Accounting System Settings.

Page Totals If the project for which you are generating this invoice is part of a billing group or is subdivided into phases or phases and tasks, this field lists the total for the currently displayed project, sub-project, phase, or task. The total for the entire invoice displays in the Invoice Total field.
Invoice Total This field displays the total for the entire invoice. Vision adds all the individual sections and Page Totals and displays the total for the entire invoice.
Project This field displays the current project name, for which the invoice is being accepted.
Phase This field displays the current phase name, if phases exist for the project.
Task This field displays the current task name, if tasks exist for the project.
Client This field displays the name of the Billing Client.
Account This field displays the name of the revenue account associated with the row selected from the Invoice Accept grid.
OK Click OK to make the invoice final. After an invoice is made final, Vision assigns an invoice number and the associated transaction detail is marked as having been billed.

If you use the Employee Realization Reporting feature and you selected Invoice as the frequency on the Reporting tab in Accounting System Settings Configuration, when you click OK, the Employee Realization Allocation dialog box displays. Any changes that you make on the Invoice Accept dialog box that affect allocation accounts set up for Employee Realization Reporting are used on the Employee Realization Allocation dialog box for the realization calculation.

Cancel Click this option to cancel out of the Invoice Accept dialog without creating the invoice.
