Example of Sharing Vision Custom Reports

In this example, perform the steps to distribute a Profit by Project Manager report to the manager of each office in your firm. You want each office to see only its own data.

Because Vision role security is not enabled for Analysis Cubes, if you send the Boston office manager an Excel file containing the report design with only the Boston office included, he or she can modify the report filter to add other offices to the report. To work around this, you must copy report output into another Excel file and share the output, not the original report design, with appropriate employees. The following steps provide an example of how to specifically do this.

To distribute a Profit by Project Manager report to the manager of each office in your firm:

  1. In Excel, create and save a Vision custom report named Profit Comparison by Office and Project Manager.xlsx. This is the original report from which you can create additional reports for each office in your firm.
  2. In the original report, apply a filter to limit the output to a specific office in your firm (for example, your Boston office).
  3. Close the PivotTable Field List, and select all the content in the original report.
  4. Copy and paste the content (with Paste Special > Values) into a new Excel workbook.
  5. In the new report, apply any necessary cosmetic formatting, and save the new report with Boston in its file name — Profit by Project Manager for Boston Office.xlsx.

    Be sure to save the file as an Excel 97-2003 Workbook file (.xls file) if the users with whom you will share the report have Excel 97 or 2003.

  6. Attach the report to an email, and send it to the Boston office manager, or share it by some other means.
  7. Open the original Profit Comparison by Office and Project Manager.xlsx custom report, and repeat steps 2 through 6 to modify the filter to limit the output for other offices.
