Approval by Email

You can approve workflow activities through email using any device capable of receiving email messages and has Internet browsing enabled.

Whenever an activity is assigned to a role, all members of the role receive an email notification if the Notification check box is selected for the Role and/or Escalate to Role on the Edit Activity subtask of the Approval Workflow Models screen.

The notification message has two links:

  • Click here to approve: When you click this link, a default browser displays and the request to approve the activity is initiated without logging in to Costpoint. If the approval is successful, the following message displays: "Workflow Activity has been approved." If the approval request is invalid, the activity has already been approved, or something went wrong, the following message displays: "Approve Workflow Activity failed."
  • Click here to open record in Costpoint: When you click this link, Costpoint opens to the specific application screen and record that is the subject of the approval activity, if single sign-on has been set up for your access. If single sign-on is not enabled, you will be prompted to log in.

You can modify the content displayed on the notification messages, including the text for links, using the Approval Workflow Email Messages screen.

Note: If you have any issues using the links, ensure that your organization's link scanning service does not scan/open any URLs that start with the main Costpoint URL. As the link in the email is uniquely generated and has a bunch of random number and letters.
