Manage Subclass Codes

Use this screen to define subclass codes and descriptions (such as "Automobiles," "Vans," "Trucks" within a "Vehicles " classification code) to optionally link with your asset records.

A subclass code is optional in an Asset Master record (and in an Asset Template record if you use this optional feature). The system will validate your subclass code entry in master records, as applicable, against data from this screen.

If you plan to use subclass codes, you should set up subclass code data on this screen as one of the first steps in the initialization process, before you begin to add data in an Asset Master or Asset Template record.

Although subclass code data is optional and can be added after Asset Master and/or Asset Template records are saved, the efficiency of your data entry process can be maximized by setting up subclass codes in advance as part of your initialization procedures.

Use caution in the timing of your edits to this screen, which may affect the types of records included in system reports.

Note: The setup data on this screen is effective across all companies and is not company-specific. If you have set up multiple companies in Costpoint, all companies can enter, view, and use the data on this screen.

If you have multiple companies and you need subclass codes that are specific to one company that should not be used by other companies, you should create the special-purpose subclass codes along with those codes that will be used by all companies. Because this is a "Corporate" table for use by all companies and the system cannot therefore enforce company-specific rules, you should establish specific internal control procedures on the use of subclass codes.

The subclass codes you enter on this screen are used for data entry in the Subclass Code fields on the Manage Asset Master Information, Manage Asset Description Information and/or the Manage Asset Template Information screens.

The primary purpose of subclass codes (as well as property types and classification codes) is to provide selection criteria by which you can choose specialized subsets of records from the database tables. These fields are data fields only and are not used by the system for any processes within Costpoint Fixed Assets. These fields can be very useful, however, when performing online queries, selecting records for global changes, and/or designing custom reports using Costpoint Enterprise Reporting.

Note: If a subclass code from this screen is currently in use in either an Asset Master record or an Asset Template record, you cannot delete that code from this screen. If you want to delete it, you can assign a different subclass code in the applicable records. When the subclass code is no longer in use, you can then delete it from this screen.
