Use this tab to enter human resources information for the employee.

You must populate the fields on the Employee Info tab for the selected employee ID.

Miscellaneous Data

Field Description
Gender

Enter the employee's gender:

  • Male
  • Female
  • Non-Binary
  • Unknown
Race

Enter, or click to select, the employee's race code. The settings available are in compliance with Affirmative Action reporting requirements and allow you to produce statistical analyses as required in Costpoint Affirmative Action.

Valid system-defined options are:

  • AI_BLACK: American Indian/Alaskan Native & Black
  • AI_WHT: American Indian/Alaskan Native & White non-Hispanic
  • AM_IND: American Indian/Alaskan Native Alone non-Hispanic
  • ASIAN: Asian Alone non-Hispanic
  • ASIAN_WH: Asian & White non-Hispanic
  • BLACK: Black Alone non-Hispanic
  • BLACK_WHT: Black & White non-Hispanic
  • HISPANIC: White Alone Hispanic
  • NH_PI: Native Hawaiian/Other Pacific Islander Alone non-Hispanic
  • OTHER: Balance- 2+ Races or Some Other Race non-Hispanic
  • OTHER_HISP: Other Hispanic or Latino
  • UNKNOWN: Race Missing or Unknown
  • WHITE: OTHER
  • WHITE: White Alone non-Hispanic

The field to the right displays the race code description.

Marital Status

Enter a one-character code to identify the marital status of the employee, such as M (Married) or S (Single), in this optional field. This field is used for informational purposes only.

Visa Type

Enter, or click to select, the value for this employee's visa type. Visa types are established on the Manage Visa Types screen. This is a required field.

Visa Exp Date

Enter the date on which the employee's visa expires.

Disabled

Select this check box to indicate that the employee is disabled.

Blind

Select this check box to indicate that the employee is blind.

Birth Location

Use the fields in this group box to track the employee's birth location.

City

Enter the employee’s city of birth.

State/Province

Enter the employee’s state or province of birth. You can only select state/provinces that exist on the Manage States and Provinces screen.

Country

Enter the employee’s country of birth. The value must exist on the Manage Countries screen in order to be specified here.

Review Dates

Field Description
Last

Enter, or click to select, the date of the employee's last performance review. This field is for informational purposes only.

Note:

When adding a new record for the employee on the Manage Employee Salary Information screen, if you answer OK to the "Use the Effective Date from this new record to update the review dates in Basic Employee Info?" soft edit, Costpoint updates this field based on the Effective Date entered.

Next

Enter, or click to select, the date of the employee's next performance review. This field is for informational purposes only. 

Note:

When adding a new record for the employee on the Manage Employee Salary Information screen, if you answer OK to the "Use the Effective Date from this new record to update the review dates in Basic Employee Info?" soft edit, Costpoint increments this field based on the Number of Months in Review Cycle entered on the Configure Labor Settings screen.

VETS-4212 Data

Note:

U.S. Department of Labor published a final rule which revises the VETS-100A Report and renamed it to VETS-4212 Report. Moreover, the VETS-100 Report will no longer be used although the Military Status fields associated with this report will remain in the screen. This final Rule is effective October 27, 2014 and will apply in 2015 reporting cycle.

Use the fields in this group box to select the applicable military statuses for the employee. You can select more than one check box.

Protected Veteran

When you select the following check boxes, the values will display under the Protected Veterans column of the VETS-4212 report.

Field Description
Active Duty Wartime or Campaign Badge Veteran

Select this check box to indicate that the employee is to be reported as an Other Protected Veteran in the VETS-4212 report. The U.S. Department of Labor defines “Active Duty Wartime or Campaign Badge Veteran” as a veteran who served on active duty in the U.S. military, ground, naval or air service during a war or in a campaign or expedition for which a campaign badge has been authorized under the laws administered by the Department of Defense.

Armed Forces Service Medal Veteran

Select this check box to indicate that the employee is an Armed Forces Service Medal Veteran. An Armed Forces Service Medal Veteran is a veteran who, while serving on active duty in the U.S.  military, ground, naval or air service, participated in a United States military operation for which an Armed Forces service medal was awarded pursuant to Executive Order 12985 (61 FR 1209).

Disabled Veteran

Select this check box to indicate that the employee is a disabled veteran. A disabled veteran is:

  • A veteran of the U.S. military, ground, naval, or air service who is entitled to compensation (or who but for the receipt of military retired pay would be entitled to compensation) under laws administered by the Secretary of Veterans Affairs;
  • A person who was discharged or released from active duty because of a services-connected disability.
Protected Veteran (Declined to Self-Identify)

Select this check box if the employee is a veteran who belongs to at least one of the following veterans but has opted not to self-identify a specific category:

  • Disabled Veteran
  • Active Duty Wartime or Campaign Badge Veteran
  • Armed Forces Service Medal Veteran
  • Recently Separated Veteran
Discharge/Release Date

If applicable, enter the date (in MM/DD/YYYY format) on which this employee was discharged or released from active military duty. This date is used to determine the Recently Separated Veterans to be included in the count of Protected Veterans in the VETS-4212 report.

A Recently Separated Veteran in VETS-4212 report is a veteran during the three-year period beginning on the date of such veteran’s discharge or release from active duty in the U.S. military, ground, naval or air service.

Other Military Status

Field Description
Special Disabled Veteran

Select this check box to indicate that the employee is a Special Disabled Veteran. This data is for informational purposes only, and is not currently used in any Costpoint reporting or processing. Previously, this information was used in VETS-100 report.

The following determines Special Disabled Veteran status:

  • The veteran is a veteran of the U.S. military, ground, naval or air service who is entitled to compensation under laws administered by the Department of Veterans' Affairs for a disability unless he is receiving military retired pay.
    • The disability is rated at 30 percent or more.
    • The disability is rated at 10 or 20 percent in the case of a veteran who has been determined under Section 38 U.S.C. 3106 to have a serious employment handicap.
  • The veteran was discharged or released from active duty because of a service-connected disability.
Vietnam Era Veteran

Select this check box to indicate that the employee is a Vietnam Era Veteran. This data is for informational purposes only, and is not currently used in any Costpoint reporting or processing. Previously, this information was used in VETS-100 report.

The following determines Vietnam Era Veteran status:

  • The veteran served on active duty in the U.S. military, ground, naval, or air service for a period of more than 180 days and was discharged or released with other than a dishonorable discharge, if any part of that active duty was performed:
    • In the Republic of Vietnam between February 28, 1961, and May 7, 1975.
    • Between August 5, 1964, and May 7, 1975, in all other cases.
  • The veteran was discharged or released from active duty in the U.S. military, ground, naval, or air service for a service-connected disability, if any part of that active duty was performed:
    • In the Republic of Vietnam between February 28, 1961, and May 7, 1975.
    • Between August 5, 1964, and May 7, 1975, in any other location.
Reservist

Select this check box to designate the employee as a Reservist. This data is for informational purposes only, and is not currently used in any Costpoint reporting or processing.
