Opportunities Actions Bar

Use options on the Actions bar in the Opportunities hub to edit an opportunity, add a touchpoint for an opportunity, mark an opportunity as closed, reopen an opportunity, or delete an opportunity.

Commonly Used Actions

Click the buttons on the Actions bar to quickly access commonly performed actions.

Field Description
Edit Click this option to open the hub form and make changes to the summary and overview information for the currently selected record.
Close Opportunity Click this option to mark the currently displayed opportunity as closed. You close an opportunity because you are no longer actively pursuing it. To do that, you assign it to a closed stage, enter the date it was closed, and select a reason. Examples of closed stages include: Awarded, Lost, and Canceled. You can also enter additional notes.
When you close an opportunity, the following occur:
  • The opportunity status is set to Inactive.
  • The opportunity is no longer displayed in selection lists of active opportunities.
  • You cannot edit any of the information related to the opportunity unless you reopen it.

When you close an opportunity because you were awarded the contract and that opportunity has resource assignments, you should move the assignments to the corresponding project plan. Typically, a message appears that prompts you to click a link to display the opportunity's resource plan in Project View. You can then delete or move the resource assignments in the plan structure as needed.

Add Touchpoint

Select this option to add a touchpoint (a simple activity such as a meeting or a phone call) for the currently displayed record. A touchpoint that you add for an opportunity is also associated with the contact, if you specify one, and with the contact's firm, and it displays on the Activities tabs in the Contacts and Firms hubs.

Other Actions

Click the Other Actions menu to choose other tasks.

Field Description
Copy Select this option to copy and modify the current record to create a new record.

If DPS detects possible duplicate records during this procedure, the Potential Duplicate Records Found dialog box displays. This dialog box lists any existing record that already has the identifier that you are trying to use for a new record.

In most cases, copying a record with attached documents does not copy the documents to the new record.

Reopen This option is only available if the currently selected opportunity is closed. Click this option to reopen that opportunity. (To select a closed opportunity so you can reopen it, select All in the filter list for the search field so that the search includes inactive opportunities.)
When you reopen a closed opportunity:
  • The opportunity status is set to Active.
  • The opportunity is again displayed in opportunity selection lists.
  • You can edit any of the information related to the opportunity.
  • The original open date is restored and the number of days open is calculated based on that date.
  • The STAGE field is cleared. Select a stage in the summary along the left side of the Opportunity area or on the Edit Opportunity form.
Open in Project View Click this option to open the opportunity plan in Project View in the Resource Management area. This option is available only if you own Resource Planning.
Edit Plan Structure Click this option to open the opportunity plan structure in Resource Management's Project View and modify it. The opportunity plan structure can later be used for creating the project if awarded. This option is available only if you own the Resource Planning application and have access to Project View. You must also have edit permissions in order to modify opportunity and plan structure records.
Export All This option displays only if you are in the list view (you have clicked in the upper right corner of the hub form). Select this option to export all the records in the grid to a .CSV file format and download the file. The name of the downloaded file displays in the bar at the bottom of the DPS screen. Click the file name to open the file. The file is saved in your Windows Download folder (Users\<Your Name>\Downloads). The name that is assigned to the file is <Hub name>.CSV. When you download more than one file for a hub, a number is appended to the end of
Create Promotional Project Click this option to create a promotional project that is associated with the selected opportunity. This action option is available if you have access to the Accounting application. You can only see this option in Detail View; it is not visible on List View. Keep in mind that you can only have one promotional project associated with an opportunity at any one time. If a promotional project is already associated with the opportunity, the Create Promotional Project option is disabled.

When you click this action option, DPS opens the Project Form in the Projects hub where you can complete field information for the promotional project.

Import from GovWin IQ

This option displays if the CRM application is activated and GovWin IQ Integration is enabled (Utilities > Integrations > GovWin IQ). Select this option to connect to your GovWin IQ instance and import Opportunity records.

Design Click this option to open the screen designer, which you can use to add tabs, grids, and fields. You must have administrative privileges to design hubs.
Delete Select this option to delete the current record. When you delete a record, you permanently remove it from the database and it cannot be undone. Verify that the record is no longer in use before you delete it. This option is available only if you have full add and edit access for opportunities.

When you delete an opportunity that has a plan structure, DPS checks for resource assignments. If the plan structure has resources assignments, a message appears that prompts you to click a link to display the opportunity's resource plan in Project View. You can then choose to delete or move the plan structure's resource assignments as needed.
