Change Revenue Generation to Track Multiple Unbilled Accounts

If you currently track one unbilled services account and one uninvoiced revenue account, you can switch and use revenue categories to track multiple accounts.

To track multiple unbilled accounts:

  1. In the Navigation pane, select Settings > Accounting > Revenue.
  2. In the Revenue form, select the Enable Revenue Categories option.
  3. In the Enable tracking for this many revenue categories field, select the number of revenue categories that you want to track.
  4. For each revenue category, enter an unbilled services account, uninvoiced revenue account, and fee invoice billed account. If you want to rename any of your revenue categories, you can change them on the Labels form in Settings > Labels and Lists > Labels.
  5. Click Save. The following changes occur in DPS:
    • In Settings > Advanced Accounting > User Defined Revenue, only the N - No Revenue Recognition revenue method displays in the Standard Methods grid.

      The standard revenue methods display in the User Defined Methods grid with all user-defined methods that you created before you turned on the revenue categories feature.

      Labor, the first revenue category from Settings > Accounting > Company, is assigned to all of the revenue methods in the User Defined Methods grid.

      You can delete any revenue method that is not currently associated with a project, except revenue method N.

    • On the Accounting tab of the Projects form in the Projects hub, the Revenue Methods field does not display. Instead, the Revenue Categories section displays a field for each revenue category that you now track.

      The revenue method that was previously entered in the Revenue Method field (and is now assigned the Labor revenue category) prefills in the first field (Labor) in the Revenue Categories section. The other revenue category fields prefill with N - No Revenue Recognition.

  6. In Settings > Accounting > User Defined Revenue, create a user-defined revenue method for each revenue category.
  7. In the Revenue Categories section of the Accounting tab on the Projects form in the Projects hub, select the revenue method for each revenue category. Use the Search and Replace utility to update the revenue method for more than one project at the same time(Utilities > Updates > Search and Replace).
  8. In the Invoice Mapping Accounts grid of the Accounts receivable form in Settings > Billing > Accounts Receivable, select a revenue category for each billed revenue account.
  9. Optional. Modify the revenue category labels on the Labels form (Settings > Labels and Lists > Labels).
After you enable revenue categories, if you map your revenue accounts to the appropriate revenue categories and run revenue generation before you set up user-defined revenue formulas and assign them to projects in the Projects hub, revenue generation calculates revenue the same as it did before you enabled revenue categories.
