Employees Assets Tab

Use this tab in the Employees hub to view asset items that an employee is currently assigned to.

This tab displays if you use Asset Management.

Asset items are tracked in the Equipment hub. You assign employees to an asset item on the Assignments tab in the Equipment hub. This allows you to track asset items that employees use and return. For example, if you issue a laptop computer to an employee, you can assign the specific employee to the laptop asset item on the Assignments tab in the Equipment hub.

If you use multiple companies, the following applies:

  • The data that you enter on a tab applies to the company that the current record is associated with.
  • The tabs and fields that display are based on the company that the current record is associated with. For example, if the employee is associated with four different companies but only one company has access to Payroll, the Payroll tab of the Employees form only displays when you are viewing that company's record.
  • The values that are available in the individual fields and lookups are based on the company that the record is associated with. For example, only timesheet groups that are associated with the current company are available in the Group field on the Time & Expense tab of the Employees form.
  • If the Automatically retrieve your record in Employee Hub/Employee Review check box is selected in My Preferences in the desktop application, the employee record that automatically loads is for the home company that is associated with the current record. If the record is associated with multiple companies, the home company record displays first.

Assigned Assets Grid

This grid displays the asset items that an employee is currently assigned to. The asset item information that displays in this grid comes from the information that is entered for the asset item in the Equipment hub.

When an employee returns an asset item and you have cleared the Assigned check box on the Assignments tab in the Equipment hub to indicate that the asset item is no longer assigned to the employee, the asset item is removed from this grid.

If you delete an asset item from the Equipment hub that is currently assigned to an employee, the row for the asset is removed from this grid.

Grid Toolbar

Field Description
Click this icon to expand the grid to a full screen display. This expanded view reduces the need to scroll through long lists of records. Click this icon again to return to a standard grid display. For more information, see Maximize the Grid View.
Click this icon to export the grid contents to a .CSV file. For more information, see Exporting Data to a .CSV File.
Click this icon to display the column filter options. Use the filter options to restrict the grid contents. For more information, see Filter the Grid Results.

Grid Fields

Field Description
Asset Number This field displays the equipment number of the asset item.
Description This field displays a description of the asset item.
Company This displays the company in which you created the project that is entered for the asset item.
Manufacturer This field displays the name of the company that manufactured the asset item.
Serial Number This field displays the asset item's serial number.
Model Number This field displays the asset item's model number.
Assigned Date This field displays the date that the asset item was assigned to the employee.
