Timesheet Access Rights

Your system administrator assigns security access rights to each employee. You are assigned to one of four security access levels: Staff, Group, Company, or Admin. Your access level determines what processing options are available to you.

Access rights are defined in the Timesheet Administration Level field on the Time & Expense tab of each employee record in the Employees hub.

Administration Level Description
Staff Employees with Staff access can open, copy, edit, print, and submit their own timesheets. They do not have access to other employees' timesheets.
Group Employees with Group access can open and print timesheets belonging to the employees in their assigned groups.
Company Employees with Company access can open and print timesheets belonging to the employees in a specific company. This option is available only if you use the Multicompany feature.
Admin Employees with Admin access can open and print timesheets belonging to any employee in the firm. The system administrator must give System access to at least one employee in a firm.

Your editing and approval rights determine the changes you can make to the status of a timesheet. You can change the status of a timesheet only if the time period is still open, you have Group, Company, or Admin access to the Timesheet application, and you have editing and/or approval rights to the selected timesheet.

Your system administrator assigns editing rights in the Timesheet Administration Level field on the Time & Expense tab in the Employees hub. Approval rights are assigned using the approval workflow in Settings > Workflow > Approval Workflows in the desktop application.

  • If you have editing rights, you can change the status of timesheets (In Progress to Submitted or Submitted to In Progress) and copy, edit, and submit timesheets belonging to the employees in their assigned groups for Group access, in the selected company for Company access, or in the entire firm for System access.
  • If you have approval rights, you can change the status of timesheets (Submitted to Approved or Approved to Submitted) and approve timesheets belonging to the employees in their assigned groups for Group access, in the selected company for Company access, or in the entire firm for System access.
  • If you have editing and approval rights, you have complete access to the timesheets belonging to the employees in their assigned groups for Group access, in the selected company for Company access, or in the entire firm for Admin access.
