Contents of the Add Opportunity Dialog Box

Use this dialog box to add a new opportunity record when qualifying a contact.

This dialog box includes the tabs and fields from Opportunities hub. Refer to the field descriptions below to complete the Opportunities Summary Pane and Overview fields. For additional information about opportunities, see the Opportunities Form help topics.

The field descriptions in this topic describe how to enter information for a new record.

Details

Field Description
Name Enter the name of the opportunity. After you save the opportunity, the name displays above the tabs along with the date the opportunity information was last changed and the name of the person or process that made the changes. If the name is too long to display completely, hover over it to display a tooltip containing the full name.
Import From GovWin IQ This option displays if you are using GovWin IQ Integration. Click this link to add one or more opportunities by importing them from GovWin IQ. This link displays the GovWin IQ Opportunities dialog box. Use that dialog box to locate and select the GovWin IQ opportunities that you want to import. After the imported data is displayed, you can make changes to it, if necessary, and make entries in fields that the import left blank.

When you import opportunities, the process attempts to determine if the primary clients and the competitors associated with the opportunities already exist in DPS as companies. If that search fails for one or more companies, you are given the option to have the import process create some or all of those companies. Similarly, if the import process cannot verify that some contacts associated with the opportunities already exist in the Contacts area of DPS, you are given the option to create some or all of those contacts.

This import option is only available if all of the following are true:
  • Your firm has a GovWin IQ account.
  • You have credentials for accessing GovWin IQ.
  • GovWin IQ integration has been implemented for DPS.
  • You are adding an opportunity. The import option is not available on the Edit Opportunity form.

You must also be connected to GovWin IQ in Utilities > Integration. If you are not connected, a login dialog box displays when you click Import From GovWin IQ so you can enter your GovWin IQ credentials.

Summary Pane

The Summary pane presents a scrollable snapshot of status and pipeline information for the opportunity. In these fields, you can add, edit, or review opportunity information.

Field Description
ID If the opportunity has been assigned an opportunity ID, this field displays that ID. To change the ID, hover over the field, click , and enter the number on the Edit ID dialog box.

IQ Record If the opportunity was imported from GovWin IQ, this field displays its GovWin IQ ID.

Click the ID to display a tooltip containing the opportunity solicitation date and number and opportunity status in GovWin IQ. Click More... in the tooltip to open a new browser tab and display the complete opportunity information in GovWin IQ. (The opportunity information remains available on the original browser tab.) If you are not already logged in to GovWin IQ, the GovWin log in page displays first.

Revenue

Enter the total estimated revenue that you expect to earn if the opportunity results in an awarded contract.

Stage Select the pipeline stage to which the opportunity is currently assigned, such as Lead, Proposal, Awarded, or Lost.

To change the stage, click it and select the new value. If you select a stage that is designated as a stage for closed opportunities, the Close Opportunity dialog box displays so you can enter other information related to closing the opportunity. Your administrator defines the list of values in Settings > Labels and Lists area.

Probability Enter the probability of winning the project, which is expressed as a percentage.
Weighted Revenue Enter the estimated revenue that is weighted is based on the probability: Estimated revenue x Probability.
Total Contract Value Enter the total amount of the contract for the owner of the opportunity. If you are not the prime contractor, then the owner of the opportunity is always the client. Enter the amount of the total contract value that you expect your company to earn if you are awarded the contract.
Currency Code If your enterprise uses multiple currencies, select the currency code and description associated with the opportunity.

Keep in mind that when you change the currency code, this action does not change any amounts in currency fields. It is assumed that those amounts were entered in the correct currency. It may, however, change the currency symbol and how amounts are formatted.

If your enterprise does not use multiple currencies, the currency code field remains blank.

Status Select the opportunity status, Active or Inactive. To change the status, click and select the new value.
Type Select the type of opportunity, such as Laboratories, Medical Facilities, or Office Buildings.

Your administrator defines the list of values inSettings > Labels and Lists area.

Responsibility Select your enterprise's responsibility or role for the opportunity, such as Prime or Subcontractor). To change the responsibility, click it and select the new value.

Your administrator defines the list of values in Settings > Labels and Lists area.

Source Select the source of the opportunity (for example, Client Contacts, Marketing Campaign, GovWin IQ). To change the source, click and select the new value.

Your administrator defines the list of values in Settings Settings > Labels and Lists area.

Opened Select the date on which you identified the opportunity and began pursuing the job.

To change the date, click and select a date on the calendar.

Days Open If the opportunity is not closed, this field displays the number of days it has been open: beginning with he date is was opened through today's date. This field is not displayed for closed opportunities.
Closed If the opportunity is closed, this field displays the date it was closed. This field is not displayed for open opportunities.

To display notes related to the closure in an info bubble, hover over the date or the reason.

Closed Reason If the opportunity is closed, select the reason it was closed. This field is not displayed for open opportunities.

Closed Notes If the opportunity is closed, enter additional information about the closed opportunity. This field is not displayed for open opportunities.

Details

Field Description
Primary Client Select a primary client for the opportunity.
Contact Select the contact that is associated with the opportunity. The associated phone and email fields populate with the contact's related information.
Business Phone This field displays the contact's business phone number.
Mobile Phone This field displays the contact's mobile phone number.
Email This field displays the contact's email address.
Address Enter the street address or other address information for the location associated with the opportunity.

Click + Add Address Line below the field if you need an additional address field. You can have up to three lines of address information.

City Enter the city for the location associated with the opportunity.
State/Province Select the state or province for the location associated with the opportunity.

Type one or more characters from the state or province to select from a list of states or provinces that contain those characters. Click to select from the full list of states or provinces.

If the drop-down list is empty, make sure the correct country is selected in Country. If it is, then no states or provinces have been defined for the country.

Zip Enter the ZIP code or other postal code for the location associated with the opportunity.
Country Select the country for the location associated with the opportunity.

Type one or more characters from the country to select from a list of countries that contain those characters. Click to select from the full list of countries.

County If applicable, select or enter the name of the county for the location associated with the opportunity.

Type one or more characters from the county name to select from a list of names that contain those characters. Click to select from the full list of counties.

If the county you need is not listed, you can type the county name in this field instead of selecting it. Be aware, however, that your entry is not automatically added to the standard list of counties. If you think it should be on the list, ask your system administrator to add it.

Regular Project Select the project in which the actual work for the opportunity is being performed. If you create a regular project from this opportunity, this field is automatically populated for you.

You can view or edit this field depending on the following conditions:

  • If you are awarded the opportunity and you create a project record from the opportunity record, the project number displays in this field.
  • If you create a new project but do not use the Create Promotional Project from Opportunity option, you can enter a name in this field or use the lookup to select a project.
  • After you enter a project in this field, you can click the project number to open the project record in the current browser window. Alternatively, right-click the number and then click the Open in new window option to open the project record in a new browser window.
Promotional Project Select the promotional project associated with the opportunity. This is the project that tracks the costs (such as, time and expense) associated with pursuing an opportunity before it becomes a project. This field is available if you have the Accounting application.

If you created a promotional project from this opportunity using the Actions menu, then this field is automatically populated for you.

You can view or edit this field depending on the following conditions:

  • If the opportunity is now a proposal and you created a promotional project record to track and bill charges for proposal generation, the promotional project number displays in this field.
  • If you create a new promotional project, but do not use the Create Promotional Project from Opportunity option, you can enter a name in this field or use Project lookup or Quick Find to select a project.
  • After you enter a project in this field, you can click the promotional project number to open the project record in the current browser window. Or, right-click the number and then click the Open in new window option to open the project record in a new browser window.
Organization Select the organization in your company that is responsible for the opportunity.

An organization is an individual business unit for your company. During installation, you can change the default "organization" label for your enterprise. For example, you may want to call your organizations business units. If your organization structure has multiple levels, the overall label you choose for Organization Reporting will apply to the combination of levels that make up the individual organizations at your enterprise. In addition, each organization level has its own label, which you can also rename. By default, the individual levels of organization structure are titled Organization Level 1, Organization Level 2, and so on.

Key Employees

Use these fields to record the key employee information for the opportunity. After completing these fields, click the name to display an info bubble containing additional employee information. Click More in the info bubble to display the full employee record on a separate browser tab. (If the row is in edit mode, you cannot display the info bubble. In that case, click anywhere outside the row to take it out of edit mode and then click the name.)

The employees and their respective roles that you select in these fields are also added to the Team Members grid on the Team tab.

Field Description
Project Manager Select the employee who is the project manager for the opportunity.
Principal in Charge Select the employee who is the principal in charge of the opportunity.
Supervisor Select the employee who is the supervisor for the opportunity.
Marketing Coordinator This field displays the employee who is the marketing coordinator for the opportunity.
Proposal Manager This field displays the employee who is the proposal manager for the opportunity.
Business Development Lead This field displays the employee who is the business development lead for the opportunity.

Procurement Details Fields

These options display if the CRM application is activated. To enter or change the values in procurement fields on the Overview tab, hover over the field, click , and make your entry in the field that displays.

Field Description
Master Contract If the opportunity is work for which your enterprise is competing under an indefinite delivery/indefinite quantity contract (IDIQ) or similar Master Services Agreement, select the master contract.
Solicitation # Enter the request for proposal (RFP) number for the opportunity.
NAICS Select the North American Industry Classification System (NAICS) code and description for the opportunity. These are government-designed codes that identify the industry in which a company operates. The codes provide a means for classifying businesses for data collection, analysis, and publication of data related to the U.S. business economy. It is structured as follows:
  • XX Industry Sector (20 broad sectors up from 10 SIC)
  • XXX Industry Subsector
  • XXXX Industry Group
  • XXXXX Industry
  • XXXXXX U.S., Canadian, or Mexican National specific

Government Contracting Fields

These options display if the CRM application is activated and your firm uses Government Contracting.

Field Description
Award Type Select the type of award for the opportunity (for example, IDIQ - GWAC, IDIQ - Agency Specific, BPA).
Competition Type Select the type of competition for the opportunity (for example, GSA Schedules or Woman Owned Set-Aside).
Contract Type Select the type of contract for the opportunity (for example, Cost Plus Fixed Fee, Time and Materials).
Duration Enter a description of the total expected duration of the contract (for example, 1 year base plus 4 x 1 year option).
Period of Performance (PoP) Specify the opportunity's period of performance, which is typically the number of months that you expect to work on the contract associated with the opportunity.
