Data Export Reports

Reporting includes a set of Data Export reports that give you the option to print or download to a file virtually all data in a given area, such as a hub.

For example, the Contact Export report gives you access to the data stored in the Contacts hub. You preview, print, or download Data Export reports the same way you do other types of reports.

Use the Data Export reports to download data into Excel spreadsheets for auditing, custom reporting, and analysis purposes. You can select up to 100 columns for a data export report. Up to 15 of the columns can be user-defined columns.

Standard reports, with sorting and grouping levels and multiple levels of headings, do not always download cleanly into a spreadsheet format. To overcome that problem, the Data Export reports display all data in a simple columns-and-rows format. The reports have a single row of column headings but no report title or other report header information.

Limitations

These are simple reports with a specialized purpose. Because of that, they have the following limitations:

  • Limited filtering: You have the same options for selecting records on the lookup as you do for other reports, but you have no other options for controlling the records that are included on the report. The Options dialog boxes have only the Columns tab for selecting the data that the report displays in each row.
  • Limited security: If you give a user access to a Data Export report, that user can generate a report that contains any or all of the columns available for that type of report. No other access restrictions (to labor cost information, for example) are enforced for these reports.
