Contacts Associations Tab

Use the Associations tab to create and maintain lists of the opportunities, other contacts, and projects that are associated with a contact.

Note the following requirements if you associate an opportunity or project record to the contact:
  • If the contact's Status is Inactive, Dormant, or Terminated, the Inactive Contact dialog box displays when you attempt to associate a project or opportunity record. Use this dialog box to change the status to Active if needed.
  • If your firm uses CRM Plus and enables the Lead Qualification Process in Settings, the contact's Qualified Status must be Qualified before you can associate a project or opportunity record. See Qualifying Contacts for additional information.

Much of the information for Deltek is entered and displayed in grids on various forms. For information about using grids, see Work with Grids.

Opportunity Grid

This grid displays the opportunities with which the contact is associated. You can establish the association of an opportunity to the contact by selecting the opportunity in this grid or by selecting the contact in the Team Members grid on the Our Team tab for the opportunity in the Opportunities hub. If you add, edit, or delete information in this grid, that change is also reflected in the Team Members grid for the opportunity. To add another opportunity association, click + Add Opportunity below the grid.

To copy or delete an opportunity on the grid, click , and select the desired option.

Field Description
Name

This column displays the name of the opportunity. Click the name to display a tooltip containing opportunity information. Click More in the tooltip to display the full opportunity record on a separate browser tab.

You can also use this field to search for and select an opportunity for a new association. If the opportunity has not yet been added, you can click + New Opportunity at the bottom of the drop-down list and add the opportunity.

Stage This field displays the pipeline stage to which the opportunity is currently assigned (for example, Proposal, Awarded, Lost, and so on). The Stage is assigned in the Opportunities hub.
Open Date This column displays the date the opportunity was opened (the date on which you identified the opportunity and began pursuing the job).
Role

This column displays the contact's role for the opportunity.

To select a different role, click in this field.

Role Description This column displays a more detailed description of the contact's role. Click if you want to apply special formatting to the description or if you want to enter or display the complete text of a longer description.
+ Add Opportunity To associate another opportunity with the contact, click this link and select the opportunity in Name.

Contacts Grid

This grid displays the contacts that are associated with the current contact record.

To add another contact association, click + Add Contact below the grid.

To copy or delete a contact on the grid, click , and select the desired option.

Field Description
Name

This column displays the name of the contact. Click the name to display a tooltip containing additional contact information. Click More in the tooltip to display the full contact record on a separate browser tab.

You can also use this field to search for and select a contact for a new association. If the contact has not yet been added, you can click + New Contact at the bottom of the drop-down list and add the contact.

Relationship Select the contact's relationship to the current record.
Relationship Description Enter a detailed description of the contact's relationship.
+ Add Contact To associate another contact with the contact record, click this link and select the contact in Name.

Projects Grid

This grid displays the projects with which the contact is associated. To add another project association, click + Add Project below the grid.

To copy or delete a project on the grid, click , and select the desired option.

Field Description
Project

This column displays the name of the project. Click the name to display a tooltip containing project information: primary client, primary contact, role, description, and status. Click More in the tooltip to display the full opportunity record on a separate browser tab. (If the row is in edit mode, you cannot display the tooltip. In that case, click anywhere outside the row to take it out of edit mode and then click the name.)

You can also use this field to search for and select a project for a new association. If the project has not yet been added, you can click + New Project at the bottom of the drop-down list and add the project.

Primary Firm

This column displays the primary firm associated with the project.

Primary Contact

This column displays the primary contact associated with the project. If your security access rights allow, you can select a new primary contact for the project, which changes the primary contact on the project record but does not remove the previous contact's association from the Our Team tab.

Role This column displays the firm's role in relation to the project (Owner, Electrical Engineering, Acoustics). If your security access rights allow, you can specify a different role.
Description This column displays a description of the firm's role.
Status This column displays the project's status.

To associate another project with the firm, click this link and select the project in Name.
