The Files and Links tab allows you to upload, view, and store files that are related to the current boilerplate. Add URLs, email addresses, and links to files and graphics.
Files Grid
This tab name changes from Files and Links to the Links tab when FILESTREAM (a Microsoft SQL Server feature) is not in use.
Much of the information for Deltek is entered and displayed in grids on various forms. For information about using grids, see
Work with Grids.
The Files grid displays when FILESTREAM is enabled. Use this grid to upload, view, and store files that are related to the current record.
Deltek attaches these files to the record for which they were uploaded. This grid supports various file types, such as image files, Microsoft document files, word processing files, drawing files, spreadsheets, and so on. When you upload a file, a copy of the file is stored in the FILESTREAM database. You cannot upload the following file types:

| Category
|
Select a category for the attached file. This allows you to classify the types of files you attach to each hub record and provides a way to sort the attachments (by classification). Your system administrator defines the categories to meet your
organization's specific requirements.

| File Name
|
This field displays the file name of the attached file. This file name is defined by the attachment's native program and cannot be changed.

| Description
|
When the attached file uploads, this field automatically copies and displays the name of the file that is listed in the
File Name field. You can change the description of the file to something more meaningful if you like.

| + Upload File
|
Click this option to add an attachment file to the Files grid. When you do so,
Deltek opens the Browse dialog box, which you can use to browse to and select the file you want to upload and attach to the current record. Or, you can use standard Windows functionality when in the browser to drag and drop a file from your desktop onto the grid.
When you upload a file, the file is stored in the FILESTREAM database. If your system administrator specifies a maximum allowable file size on the Miscellaneous tab of
(desktop), an error message will display if the uploaded file exceeds the size limit.

Links Grid
Use the Links grid to add URLs, email addresses, and links to files and graphics for a hub record. When you add a file or graphic link to the Links grid,
Deltek stores the link so that you can copy and paste it into the file explorer. The file remains on your computer or network.

Enter a brief description of the file link or URL, to help you distinguish the file link or URL from other files.
|
| Link Path
|
This field displays one of the following:
- The complete link path for the file.
- The complete HTTP, FTP, email, or newsgroup address for a URL. Click the address to go to the Web, FTP, or newsgroup site, or to open and send an email.
To edit a file link path or URL, select the field and then edit it.

| Graphic
|
This option is selected if the associated file link is a graphics file. This is selected by default if the file has one of these extensions: jpeg, jpg, tif, tiff, gif, bmp, or png.
The link path name cannot contain any commas if you plan to use the linked graphic in certain merged
proposals. See the
Proposals section of the help for more information.

Click this option to add a URL to the Links grid. Use this option to link web sites, FTP sites, email addresses, and newsgroups to the current record. If a web site, FTP site, email address, or newsgroup location changes, the hyperlink in this field no longer works.
