Automatically Populating Timesheets with Resource Planning Data
If you use Resource Planning, you can have timesheets automatically populated with data from resource assignments in your project plans.
Each time that an employee opens a new or in-progress timesheet, a row is automatically added to the timesheet for each assignment for which the employee has planned hours in the timesheet period. The row is populated with the project, phase, task, and labor code from the resource assignment. If a row already exists for the project information in the assignment, a row is not added. Employees can click
on the Timesheet toolbar to view a summary of their planned hours.To have timesheets automatically populated with data from Resource Planning, you select Yes for Autopopulate from Plan Assignments on the Options tab in Time Settings.
Plan and project information is automatically added to an employee's timesheet only if the following conditions are met:
- Include in Utilization and Project Planning is selected for the plan on the General tab of Project Planning, and the plan's Status is set to Active or Inactive. If Yes is selected for Treat inactive projects as dormant on the Options tab of Time Settings, only data from active plans is used.
- Approved for use in accounting applications is selected for the project on the General tab of Projects hub, and the project's Status is set to Active orInactive. If Yes is selected for Treat inactive projects as dormant on the Options tab in Time Settings, Deltek uses data only from projects with an active status.

The employee has planned hours that fall within the timesheet period. For example, if an employee has planned hours on Project B from 8/1/17 through 8/15/17, and the timesheet periods are weekly, timesheets are populated with Project B data and planned hours for 7/31/17–8/6/17, 8/7/17–8/13/17, and 8/14/17–8/20/17.
Special Considerations
- If an employee is removed as a resource from a plan after charging time to the project, the charged time is not automatically removed from the employee's in-progress timesheet.
- Timesheets are autopopulated with Resource Planning data only when an employee opens his/her own timesheet. Timesheets are not autopopulated when an administrator opens an employee's timesheet.
- If you select Yes for Treat inactive projects as dormant on the Options tab in Time Settings, only data from active plans are retrieved.
