Contact Summary Columns Tab

Use the Columns tab to select or clear columns, change column sequence, provide new column labels, set column widths, or select number and date formats.

Most available columns show data from the Contacts hub. In addition, you can use this tab to include columns that contain associated data. These are called "grid columns."

The list of columns in this topic includes all available report sections. However, the report sections that actually display on the Columns tab vary based on your selection on the General tab. The grid column labels begin with the report section. For example, each of the Activities report section labels begins with Activities - (Activities - Type, Activities - Subject, and so on).

Field Description
Full Name This column displays the contact's full name: Prefix, First Name, Middle Name, Last Name, Suffix.
Prefix This column displays the contact's salutation (for example, Mr., Mrs., or Dr.).
First Name This column displays the contact's first name.
Middle Name This column displays the contact's middle name or initial.
Last Name This column displays the contact's last name.
Suffix This column displays the suffix from the contact's name (for example, Jr., Sr., Esq.).
Preferred Name This column displays the name by which the contact prefers to be addressed.
Title This column displays the contact's title (for example, Director, Project Manager, or CEO).
Type This column displays the contact type: Firm, Client, or Vendor.
Firm Name This column displays the firm name.
Firm Status This column displays the current status of your relationship with the firm: Active, Dormant, or Inactive.
Firm Relationship This column displays your relationship with the firm, such as Consultant, Prospective, or Existing).
Firm Market This column displays the type of firm, such as Commercial, Government, or Non-Profit).
Email This column displays the contact's email address.
Status This column displays the contact's current status: Active or Inactive.
Source This column displays the source of the contact (for example, specific conferences or trade shows).
Is Mailing Address

This column indicates if the address is the contact's mailing address. If the column contains Y (Yes), the address is the contact's other address or home address. If the column contains N (No), the address is one of the following:

  • If the contact is not associated with a firm, the address is the contact's other address or home address.
  • If the contact is a firm contact, the address is the firm's address.
Mail Address 1 - 4 This column displays the contact's address (street name and number, suite number, P.O. Box number).
Mail City This column displays the city from the contact's address.
Mail State This column displays the state from the contact's address.
Mail Zip This column displays the ZIP code from the contact's address.
Mail Country This column displays the country from the contact's address.
Concatenated Address This column displays the contact's other or home street address, city, state, and zip code. The report shows this information in a single column.
Other Address 1 - 4 This column displays the contacts' other or home address (street name and number, suite number, P.O. box number, and so on).
Other City This column displays the city from the contact's other address or home address.
Other State This column displays the two-character abbreviation for the state from the contact's other address or home address.
Other Zip This column displays the zip code from the contact's other address or home address.
Other Country This column displays the country from the contact's other address or home address.
Other Phone This column displays the contact's business telephone number.
Other Fax This column displays the contact's business fax number.
Pager This column displays the contact's pager number.
Cell Phone This column displays the contact's cellular phone number.
Home Phone This column displays the contact's home telephone number.
Row Count This column displays the total number of detail lines for each group, based on the sorting and grouping selections on the Sorting/Grouping tab. If the report groups data at more than one level, this column displays row counts for all grouping levels.
Firm Address Desc If the contact is a firm, this column displays the description of the firm's address (for example, Company Headquarters, Main Office, or Northeast Office).
Concatenated Firm Address This column displays the firm's street address, city, state, and ZIP code. The report shows this information in a single column.
Firm Address 1 - 4 This column displays the firm's address information. Firm Address 1 displays the firm's name. The other address fields display the firm's address information (street name and number, suite number, postal box number, and so on).
Firm City This column displays the city from the firm's address.
Firm State This column displays the two-character abbreviation for the state from the firm's address.
Firm Zip This column displays the ZIP code from the firm's address.
Firm Country This column displays the country from the firm''s address.
Firm Phone This column displays the firm's telephone number.
Firm Fax If the contact is a firm, this column displays the firm's fax number.
Firm Website This column displays the firm's web site address.
Create User This column displays the user ID of the person who created the contact record in the Contacts hub.
Create Date This column displays the date on which the contact record was created.
Modify User This column displays the user ID of the person who most recently modified the contact record.
Modify Date This column displays the date on which the contact record was most recently modified.
Contact Notes This column displays the text entered in the Notes field in the Contacts hub.
Firm Memo This column displays the text entered in the Notes field in the Firms hub.
Firm Specialty This column displays the description of the firm's business specialty, or any other information related to the firm, as specified in the Firms hub.
Firm UDL Specialty Type This column displays the firm's business specialty (for example, Printing, Interior Design, or Security Systems).
Custom Currency Code If a currency code was specified in the Contacts hub, this column displays that code.
Activities - Completed The activity can be Pending or Completed.
Activities - Type This column displays the activity type (for example, Phone Call, Meeting, or Email).
Activities - Subject This column displays a brief description of the activity (for example, Initial Consultation, Planning Meeting, Customer Lunch, or Follow-up Visit).
Activities - Start Date This column displays the date and time that the activity is scheduled to begin.
Activities - Priority This column displays the priority ranking that indicates the relative importance of individual activities: High, Medium, or Low.
Activities - Owner This column displays the name of the employee who is responsible for the activity.
Activities - Primary Firm This column displays the name of the firm associated with the activity.
Activities - Opportunity This column displays the name of the opportunity associated with the activity.
Activities - Project This column displays the name of the project associated with the activity.
Activities - Marketing Campaign This column displays the marketing campaign associated with the activity.
Activities - Location This column displays the location where the activity occurred or will occur.
Activities - Notes This column displays additional text that describes the activity.
Firm Assoc Relationship Description This column displays additional text describing the relationship of the current contact to the associated firm.
Categories - Category This column displays an activity category (for example, Corporate Mailing, Holiday Card, Promotional Brochure, or Newsletter).
Categories - Info This column displays additional text that describes the activity category.
Opportunities - Name This column displays the name of the opportunity associated with the contact.
Opportunities - Number This column displays the opportunity identifier.
Opportunities - Stage This column displays the current stage of the opportunity (for example, Pending, Awarded, or Lost).
Opportunities - Role This column displays the role of the contact in the opportunity (for example, Architect, Developer, or Owner).
Opportunities - Description This column displays additional text describing the contact's role in the opportunity.
Projects - Name This column displays the name of the project.
Projects - Number This column displays the project identifier.
Projects - Role This column displays the role of the contact in the project (for example, Architect, Developer, or Owner).
Projects - Description This column displays additional text describing the firm's role on the project.
Associations - Name This column displays the name of a contact who is associated with the current contact.
Associations - Relationship This column displays a description of the relationship of the current contact to the associated contact (for example, Partner, Friend, or Associate).
Associations - Relationship Description This column displays additional text describing the relationship of the current contact to the associated contact (for example, Partner, Friend, or Associate).
Employees - Number This column displays the employee's number.
Employees - Name This column displays the employee's full name.
Employees - Description This column displays a description of the employee's relationship with the contact.
Employees - Relationship Description This column displays additional text describing the relationship between the contact and the employee.
Marketing Campaigns - Name This column displays the name of the marketing campaign.
Marketing Campaigns - Number This column displays the marketing campaign identifier.

This column contains one of the following:

  • The address (URL) for a Web site, intranet site, file transfer (FTP) site, and so on. If you preview the report, you can click the link to go to that address.

Firm Employee Assoc - Employee This column displays the number of an employee who is associated with the firm.
Firm Employee Assoc - Name This column displays the name of an employee who is associated with the firm.
Firm Employee Assoc - Relationship This column displays a description of the relationship of the firm to the associated employee.
Firm Employee Assoc - Relationship Description This column displays additional text describing the relationship of the firm to the associated employee.
Firm Assoc Name This column displays the name of a firm that is associated with the current contact.
Firm Assoc Relationship This column displays a description of the relationship of the current contact to the associated firm.
Owner If a contact is associated with an activity, this column displays the owner of the activity.
Status Reason

If a contact is associated with a marketing campaign, this column displays the reason for disqualifying a contact. The values for this field is set in the Contact Status Reason Settings in the Labels and Lists Setup.

Rating If a contact is associated with a marketing campaign, this column displays the rating of a contact. The values for this field is set in the Contact Ratings Settings dialog box in the Labels and Lists Setup.
Firm Description This column displays the name of a firm that is not in the Firms Hub. This field only displays when lead qualification is enabled in CRM Plus Settings.
Opportunity Description This column displays the name of an opportunity that is not in the Opportunities Hub. This field only displays when lead qualification is enabled in CRM Plus Settings.
Market This column displays the type of firm associated with the contact. The values for this field is defined in the Market Settings.
Web Site This column displays the web address of the company that the contact is associated with.
Qualified Status This column displays the qualification status of the contact during the sales process. This field only displays when lead qualification is enabled in CRM Plus Settings.
Status Date This column displays the date on which the contact was qualified or disqualified. If you are creating a new contact , this field displays the current date and will update automatically on the date the contact is qualified. Use this information to track the number of leads or contacts that were qualified or disqualified during a specific time frame. This field only displays when lead qualification is enabled in CRM Plus Settings.
