Smart Superseder

The Smart Superseder allows you to quickly supersede existing project documents and drawings with the latest revisions received from external organizations. You can use it to supersede files received via PIM Teamwork, or to publish new documents that do not currently exist in PIM.

When you receive the latest project files from a third party via email, you first need to publish them to the nominated document pool for incoming documents, and link them to the associated project/enquiry and receiving organization. Files that you receive from third-party contacts via the PIM Teamwork portal are already published and ready to be superseded.
Note: The Smart Superseder is used to replace non-DLM files only. If the files that you want to supersede are stored in placeholders within the DLM, you must use the Assign Renditions feature via the project's DLM tab.

Document Matching

For each file, the system attempts to match it to an existing project file. Multiple suggestions may be available to choose from, and each suggestion is rated from 0 to 4, which indicates how close a particular match is.

Rating Logic
0 No match available
1 Filename contains, starts with, or is an exact match of the title of an existing file.

The originating organization is different.

2 Filename contains part of the title of an existing file.

The originating organization is the same.

3 Filename starts with the title of an existing file.

The originating organization is the same.

4 Filename is the exact match of an existing file.

The originating organization is the same.

Supersede Existing Files or Publish as New Files

You can supersede a document in two ways; you can either supersede a suggested document, or you can manually select a different document to supersede. When you supersede a document, you can modify its metadata, such as the document details, size, scale, and so on. You can also modify the locations where the document is published to.

Alternatively, if one or more documents do not currently exist in PIM, you can publish them as new documents against the project. For each new document, you define the metadata and where to publish them to.

Configure Smart Superseder Settings

You configure the settings for the Smart Superseder via Administration Zone > Document Management > DMS Configuration >Configure DMS.

Within the Smart Superseder Settings, you can set the maximum number of documents to display to users, the priority of preferred primary file types, the default version for new documents, whether to retain the same revisions for issued documents, and the incoming document pools for both projects and enquiries.
