Invite External Contacts to Participate on a Project

You can invite external contacts from other organizations, such as contractors and architects, to participate on a project. External contacts receive an invitation by email with their login details. External users can only access projects they are invited to collaborate on. When they access a project, they can view basic project information, download documents, add markup, and upload their own files.

Prerequisites: The external contacts that you want to invite must already be assigned to the project. For information, see Add an External Contact to a Project. In addition, contacts must have an email registered in the system to receive the invitation.

To invite external users to participate on a project:

  1. Navigate to the project.
    You can search for projects using the Search Projects link in the Activity Zone. Projects that you are linked to also appear on the History tab on your contact record, and in the Projects dashpart in the Personal Zone.
  2. On the General tab, under Organizations and Contacts band, click Invite Teamwork Users.
  3. On the Invite Teamwork Users screen, select the check box of each contact that you want to invite.
    If a contact displays Yes in the Teamwork User column, it means they have already been invited to participate. You can select these contacts again if you would like to resend the invitation email.
  4. Click Invite.
    The selected contacts receive an email with a link to access the project. If this is the first time a contact is being invited, the email includes their username and a temporary password. If a contact does not accept the invitation within 3 weeks of receiving it, the invitation link will expire. You can reinvite contacts using the Invite Teamwork Users option.
