Definitions of Absence Category Fields
Use these fields to add and edit absence categories.
Field | Description |
---|---|
Name | Enter the name for the category. You should use a name that clearly represents the category to users when they request absence. |
Timesheet Category | Select the timesheet category that users select when they enter overhead time on their timesheet. |
Entitlement Effect | Select whether time is deducted from users' entitlement when they book absence using this category against a linked entitlement. |
The following options are available:

Bookable Security Level | Select the level of security with respect to who can see the category when they request absence. |
Allow Any Day | Select this option to allow users to book absence against the category for days outside their working week, such as weekends and public holidays. You leave this option deselected if you want to restrict users to booking absence against the category for working week days only. |
Obsolete | Select this option to prevent users from booking absence against the category. |
Approved Color | Specify the hex color to display approved absence days in the Absence Matrix. |
Requested Color | Specify the hex color to display requested absence days in the Absence Matrix. |
Hide on Timesheet | Select this option to hide the category in the overhead time section in the timesheet. |
Precedence | Enter the priority of the category type for situations where two or more absence categories are considered by the system. |
For example, if an employee books study time, followed by personal holiday, and then calls in sick, you may want the system to override the study time with sickness so that the employee's personal holiday is not affected. In this case, you assign a lower number to the study time category, and a higher number to the personal holiday category. | |
Linked Entitlement Sources | In the last column, click
to select the entitlement source to link to the absence category.
Note: You can link a category to multiple entitlement sources. However, the entitlement sources must be of the same type. For example, you cannot link a category to an entitlement source that uses hours, and another that uses days, or one source that is linked to an accrual scheme, and another source linked to a fixed amount of entitlement.
