Create a Document Coding Scheme

You can create a coding scheme to append information to the beginning of document titles when users publish documents to a linked document pool. Each scheme can consist of one or more code fragments.

To create a document coding scheme:

  1. On the header bar, click Activity Zone.
  2. In the Search Activity Zone field at the top, enter Document Coding Scheme, and then click the link that displays.
  3. On the Document Coding Schemes screen, click .
  4. In the Name field, enter a name for the coding scheme.
  5. To add a code fragment to the scheme, do the following:
    1. In the Fragments section, click .
    2. On the new row that is created, use the Select Fragment Type list to select a fragment type. For information, see Coding Scheme Fragment Types.
    3. Fill in the other fields, as required.
      Some fields are only relevant to specific fragment types. For information, see Coding Scheme Fragment Fields.
    4. Repeat a through c to add additional code fragments, as required.
  6. In the Applies To section, select one or more of the following options to define when to apply the coding scheme:
    Setting Description
    Outgoing Published Documents (Templates) Apply the scheme when users publish a document based on an existing template document in the document management system, either through Working Files or Local File Management, or from the Documents tab on a record, such as a project.
    Incoming Published Documents Apply the scheme when users publish new documents that are not based on templates or cloned documents.
    Documents from use document as template Apply the scheme when users publish documents that are not based on an existing working (non-template) document in the document management system.
    Direct Email Published Documents Apply the scheme when users publish documents directly into PIM via the PIM Outlook Add-in.
  7. Click Save to finish.
