Invite External Contacts to Participate on an Enquiry

You can invite external contacts from other organizations, such as contractors and architects, to participate on an enquiry. External contacts receive an invitation by email with their login details. External users can only access enquiries they are invited to collaborate on. When they access an enquiry, they can view basic enquiry information, download documents, add markup, and upload their own files.

Prerequisites: The external contacts that you want to invite must already be assigned to the enquiry. For information, see Add an External Contact to an Enquiry. In addition, contacts must have an email registered in the system to receive the invitation.

To invite external users to participate on an enquiry:

  1. Navigate to the enquiry.
    You can search for enquiries using the Search Enquiries link in the Activity Zone. Enquiries that you are linked to also appear on the History tab in your contact record, and in the Enquiries dashpart in the Personal Zone.
  2. On the General tab, under Organizations and Contacts band, click Invite Teamwork Users.
  3. On the Invite Teamwork Users screen, select the check box of each contact that you want to invite.
    If a contact displays Yes in the Teamwork User column, it means they have already been invited to participate. You can select these contacts again if you would like to resend the invitation email.
  4. Click Invite.
    The selected contacts receive an email with login details and a link to log in to access the enquiry. Links to enquiries expire after 3 months. If a contact does not accept the invitation within this time, they will need to request a new invitation.
