Search for Emails and Documents in Smart View

You can use Smart View mode in the PIM Information Zone to search for published emails and documents. When you conduct a text search, it searches against titles, details, and content.

To search for emails and documents in Smart View:

  1. On the header bar, click Information Zone.
    If Smart View is not enabled, click the Smart View toggle to enable it.
  2. Click one of the following modes to search in:
    • Document Mode. Select this mode to search for both emails and attachments. This mode is selected by default. To exclude emails from the results, click the Exclude Emails toggle to enable it.
    • Email Mode. Select this mode to limit your search to emails only.
  3. In the Search text here field, enter partial or whole text that you want to search against.

  4. Click , or press the ENTER key.
    Up to 100 documents that match the search text display in the results pane. To display more results, click Load More on the results header bar. Alternatively, to narrow down the search results, you can apply one or more filters. For information, see Apply Custom Filters.
  5. Do any of the following:
    • To preview an email or document, click the Preview toggle to display the Preview pane, and then click a document to display it.
    • To download an email or document, click the title.
    • To view the details of an email or document, click > Summary Details.
    • To share an email or document, click .
    • To add emails and documents to a basket, select the check box of each email and document that you want to add and click Add to Basket.

You can also search for emails and documents on the Emails/Documents tab on a specific entity record, such as a project or opportunity. When you conduct a search from an entity record, only emails and documents that are linked to the record display in the search results.
