Publish a Template

You can publish a template to PIM to allow users to create new documents from it. You can specify the default document pools where new documents created from templates get published to, and you can link templates to selected entity classes.

Note: If a template contains content controls that will not use data merged from PIM, such as date pickers, drop-down lists, combo boxes, and so on, you must edit the property of those controls within the template before you publish it and enter userdefined in the Tag field.

To publish a template:

  1. To display the Local File Management page, do either of the following:
    • Navigate to the Information Zone, and then click the Local File Management tab.
    • Right-click the Deltek Local File Management icon in your system tray and choose Local File Management Page.
  2. On the Local File Management window, click Add Files.
  3. On the Choose files to add to LFM folder window, navigate to and select the template that you want to publish, and then click Open.
  4. On the Local File Management window, under Not in PIM, select the template and then click Publish Files.
  5. On the Publish Document window, in the left pane, select one or more document template pools to publish the template to.
  6. Click the Template Attributes tab and do the following:
    1. In the Choose default pool(s) for this template pane, select one or more document pools where new documents created from the template will get published to.
Users can change the publish locations when they create documents from the template.
    2. In the Choose Entity Classes required for template merging pane, select any entity class types that you want to link to documents created from the template.
When users publish documents created from the template, they will be required to select specific records to publish the document against for any entity class types that you select here. For example, if you select the project entity class, when a user creates a new document from the template, they will be required to select a project to link the new document to when they publish it.
    3. To require users to enter body text when they create a document from the template, select the Template body text required check box.
  7. Click the Details/Comments tab and enter any document details and version comments, if required.
  8. When you are ready to publish the template, click Publish.
