Labor Resource Assignments Grid: Calendar View

In the Labor Planning grid, you can open a Labor Resource Assignments grid below a WBS row. Use the Resource Assignments grid to add and review resources for that WBS element. Use the calendar view of that grid to enter or review resource hours by calendar period.

If the calendar view is not displayed, click near the left end of the grid heading row and select Calendar View.

The lowest level of the LEVEL/RESOURCE column displays any named or generic resources assigned to the project, phase, or task element. Resources who have charged to the project (posted or unposted hours), but do not have planned hours, are listed with the resources who do have planned hours.

Hours in the Resource Assignments grid are formatted based on the settings in Vision Plan Settings. Options include No Decimal, 1 Digit, and 2 Digits. If you use the Vision Multicompany feature, the hours setting comes from the Plan Settings of the company to which the project belongs.

Note: When you select the Cost option, some information may not display because of your security access. Settings on the Accounting tab on the Roles form in Vision (Configuration > Security > Roles ) determine your access rights to labor cost rates and amounts in iAccess. See the Security Settings and Labor Cost Amounts online help topic for more information.

Calendar Periods

The calendar view of the Resource Assignments grid displays the calendar periods for the selected WBS element's start and end dates and the planned hours for each period. For iAccess plans, the calendar scale for the periods is defined in the Plan Settings dialog box. For Vision plans, the calendar scale defaults to Weekly for WBS elements with date ranges 180 days in length or less; a longer date range results in the use of a Monthly scale.

The calendar period columns on the Resource Assignments grid always display hours, even if you select the Amounts option on the Planning toolbar.

+ Add Resource Click + Add Resource to open the Add Resource dialog box and add a named or generic resource for the WBS element.

This option is only available if you have the plan checked out.

and indicates that you currently have the calendar view of the Resource Assignment grid displayed, and indicates that you have the summary view displayed. To switch views, click the displayed icon and select the view from the drop-down list.
ETC If Hours is selected on the Planning toolbar, this column displays the estimate-to-complete hours for the resource on the current project, phase, or task. This is the number of hours required from tomorrow through the end of the plan to complete work on this project, phase, or task element.

If Amounts is selected on the Planning toolbar, this column displays either the billing or cost value of the ETC hours for the resource.

With Hours selected on the Planning toolbar, you can enter lump sum hours in this field as long as the end date for the parent WBS row is in the future and as long as there is at least one work day remaining in the time range defined for that WBS row. iAccess then spreads the hours across the available calendar periods as follows:
  • If the resource currently has 0 ETC hours, iAccess spreads the hours evenly across all working days in all future calendar periods. If necessary, you can then adjust the hours for individual calendar periods. For example, you could enter 0 hours for a calendar period in which the resource will not work on the WBS element, and increase the hours for one or more other periods.
  • If the resource currently has ETC hours and you change the number of hours in this field, iAccess spreads the hours across the future calendar periods in proportion to the existing distribution of ETC hours to those periods. For example, if the WBS element has four weekly calendar periods, and an employee currently has 0 hours for the first period, 10 hours for the second, 10 for the third, and 20 for the fourth, iAccess assigns the hours to calendar periods as follows if you change the value in this field from 40 to 60:
    • First period: 0
    • Second period: 15
    • Third period: 15
    • Fourth period: 30

    If the proportional distribution of hours results in a remainder due to rounding, that is added to the hours for the last calendar period that contains a value other than 0.

If you enter hours in this field on a date that falls within a calendar period for the WBS row, so that the calendar period has both past and future work days, only the future work days in that period are considered when distributing the ETC hours to that calendar period. Note, however, that iAccess also calculates and assigns past hours to the past work days in that calendar period. For example, if you enter lump sum ETC hours so that the current weekly calendar period for the WBS row has four past work days and one future work day and that one future work day is allocated 8 ETC hours, iAccess also assigns 8 past hours to each of the four past work days in the period.

ETC Calendar Period Hours

The number of calendar period columns displayed is based on the parent WBS row's date range and the calendar scale in use. The columns display the resource's estimate-to-complete hours for the period. Only columns that include future dates are editable.

When you create a plan, iAccess spreads the amount you assign as the lump sum ETC evenly among the working days in the available calendar periods. If necessary, you can then adjust the distribution of hours for individual calendar periods. If you later change the lump sum ETC in the ETC field, iAccess spreads the hours across the available calendar periods in proportion to the existing distribution of hours to those periods, as described above in the description of the ETC field.

Ideally, if you need to change the ETC for a calendar period, you should do that prior to the first work day of that period. However, if you must make a change to the ETC for a calendar period after the start of that period, so that the calendar period has both past and future work days, click in that calendar period grid cell and enter the ETC hours in the drop-down edit dialog box. When you do, iAccess also calculates and assigns past hours to the past work days in that calendar period and displays the total hours for the calendar period. Click Save ETC to save your entry.

For example, if you are in the middle of the current weekly calendar period for the WBS row, so that the period has four past work days and one future work day, and you want to enter 8 ETC hours for a resource for that last work day, you click in the calendar period grid cell and enter 8 in ETC HOURS. iAccess then automatically assigns 8 past hours to each of the four past work days in the period, and the edit dialog box displays 32 in PAST HOURS, your entry of 8 in ETC HOURS, and 40 in the total hours field.

You can only change the ETC hours for a calendar period if that period has at least one future work day remaining in it.
