Convert a Vision Plan to an iAccess Plan

When you are also using the Vision Resource Planning module, you can convert a plan that was originally created in Vision to an iAccess plan. This simplifies data entry, but requires that all subsequent plan updates be made in iAccess. You can then save and publish the plan back to Vision. After you publish, data synchronizes between the two applications so both display the same plan information.

To convert a Vision plan to an iAccess plan, complete the following steps:
  1. In iAccess, open a project that has a Vision plan and click the Planning tab.
  2. Click the Convert button.

    iAccess checks for any conditions that prevent the conversion from taking place. If iAccess displays a message about one of these conditions, you must address the problem in Vision before you can convert the Vision plan to an iAccess plan. See Conditions That Prevent Conversion to a Vision Plan for more information about the conditions that prevent conversion.

    If no problems are detected, the Convert to an iAccess Plan dialog box displays.

  3. Before you convert a Vision plan, review the changes that will occur to ensure there are not any discrepancies with data. When you perform a conversion, the Synchronize Fees from Plan to Project option in Vision (Configuration > Planning > Plan Settings) does not apply to iAccess plans. Also, EV Pct is set to zero on iAccess plans. The following fields are changed during the conversion to align them with iAccess Planning.

    Planned Revenue Fields Depends on the Vision plan's Budget Type setting:
    • Cost: Labor Multiplier Type is set to Planned Multiplier
    • Billing: Labor Multiplier Type is set to Planned Ratio
    • Cost and Billing: The Labor Multiplier Type on the Vision plan is checked. If Planned Multiplier or Planned Ratio, it is not changed. If set to User Entered (Cost), set to Planned Multiplier. If set to User Entered (Billing), set to Planned Ratio.
    Show Unposted Actual Labor Selected
    Show Committed PO Expenses Selected
    Available to Other Users Selected
    Status Changed to match Project Status defined in the Vision Project Info Center.
    Rates tab of Project Planning Generic Method, Labor Cost Rates fields, Labor Billing Rates fields, Calculate Consultant Billing Amounts option and fields The fields that display depend on the Budget Type that is selected:
    • Cost: No access to billing rates.
    • Billing: Access to cost and billing rates.
    • Cost and Billing: Access to cost and billing rates.
    Schedule tab of Project Planning Task dependencies All task dependencies are removed. (This only applies to Vision 7.4 and later versions.)
    Labor tab of Project Planning Comp, EV Pct, Direct Consultant, Reim. Allow., Comp. Bill, Cons. Bill, Reim. Bill, Total Comp., and Total Comp. Bill fields These amounts are set to zero when converted to an iAccess plan.

    Expense Tab of Project Planning Description, Account, Vendor, Planned Cost, Planned Bill

    Converted at the level in which they were planned as long as it was WBS1, 2, or 3.

    iAccess Plan Settings: Expenses Planning Level set to fit the highest planned level.

    Consultant Tab of Project Planning Description, Account, Vendor, Planned Cost, Planned Bill

    Converted at the level in which they were planned as long as it was WBS1, 2, or 3.

    Accordion Calendar Format
    • Starting Day of Week is set to Monday
    • Time-phased data is adjusted.
  4. Click the Convert button to convert the Vision plan to an iAccess plan.
