Alerts and Invoice Approvals

The invoice approvals process and associated alerts are configured in Vision. If your firm implements the alerts, Vision or iAccess can automatically send an alert (email, dashboard, or both) for each action as it is completed during the invoice approval process (when an invoice is approved, for example). These alerts notify the designated employees that there is an invoice that requires their attention.

For each invoice approval action, you can select the employees to be alerted, how they will be alerted, and the alert frequency (alerts sent per invoice or per billing session). These settings are specified for the invoice approval process on the Invoice Approval Process form in Vision (Configuration > Billing > Invoice Approval Process). iAccess automatically applies these same settings to the approval and rejection actions that you perform in iAccess.

When email alerts are sent for invoices that have been submitted, the alert includes a hyperlink to Invoice Approvals in Vision Billing. However, if the Email tab on the General System Settings form (Configuration > General > System Settings) includes an iAccess URL, links to both Vision and iAccess display in the email. You can click the Vision link to open Invoice Approvals, or the iAccess link to open iAccess, where you can then select the project and display the draft invoice information.
