Import Opportunities from GovWin IQ

If you are set up as a GovWin IQ user, you can add opportunities in iAccess by importing them from GovWin IQ.

This import option is only available if all of the following are true:
  • Your firm has a GovWin IQ account.
  • GovWin IQ integration has been implemented for iAccess.
  • In the My Settings dialog box, you are connected to GovWin IQ. If you are not connected, a dialog box displays when you click Import From GovWin IQ so you can enter your GovWin IQ credentials.

The procedure below describes how to start the import process from within Business Development. However, you can also initiate the import of an opportunity into Business Development while viewing that opportunity in GovWin IQ. Display the opportunity and click Add to Deltek CRM to display the opportunity information in the Add Opportunity form in Business Development. Once the data from GovWin IQ is in the Add Opportunity form, the process is the same as when you start the import from within Business Development.

To import opportunities from GovWin IQ, complete the following steps:
  1. Click to go to the Opportunities area.
  2. Click + Add Opportunity next to the opportunity search field.

    This link is only available if you have the access rights that are required to add records.

  3. On the Add Opportunity form, click Import From GovWin IQ.
  4. On the GovWin IQ Opportunities dialog box, do one of the following:
    • To select opportunities for import from a list of all opportunities in GovWin IQ that are marked as "mine," click Get All My Opportunities.
    • To select opportunities for import from a list generated using a text search, click the left end of the search field in the upper-left corner of the dialog box and select a filter (Active, All, or Mine), and enter either a complete GovWin IQ opportunity ID or one or more characters that you want to search for in opportunity names and acronyms.
    The list of GovWin IQ opportunities that match your search criteria display in the dialog box.
  5. Click each opportunity that you want to import.

    To select all of the opportunities in the list, click the check box next to the GOVWIN IQ ID label in the heading area of the grid.

    If you need more information about an opportunity before selecting it for import, click the opportunity ID to display a tooltip containing the opportunity solicitation date and number and opportunity status in GovWin IQ. Click More in the tooltip to open a new browser tab and display the complete opportunity information in GovWin IQ. If you are not already logged in to GovWin IQ, the GovWin log-in page displays first.

    As you make selections, the total number selected displays next to the Import button.

  6. If you need to do additional searches to select all of the opportunities that you want to import, repeat steps 4 and 5. iAccess saves all of your selections until you either start the import process or you cancel the GovWin IQ Opportunities dialog box.
  7. When you have selected all opportunities that you want to import, click Import.

    Note: Before you click Import, it is recommended that you verify that you have selected only opportunities that you want to import. After the import occurs, the only way to reverse that process is to delete the opportunities individually in iAccess.

    When the import process starts, iAccess first determines if any of the selected opportunities already exist. If it finds one or more matches, it lists those opportunities in the Opportunity Records Exist dialog box and gives you the option either to skip all duplicate opportunities or to select one or more that you want to import.

    One of the following then occurs:
    • If iAccess cannot verify that the clients and all competitors and contacts associated with the opportunities in GovWin IQ already exist in the database, the New Records dialog box displays a list of the missing companies and contacts. Continue with step 7.
    • If the clients and competitors associated with the opportunities in GovWin IQ already exist as companies in iAccess, and all contacts associated with the opportunities already exist as contacts in iAccess, the opportunities are imported. Skip steps 7 and 8, and continue with step 9.
  8. In the New Records dialog box, review the list of companies and contacts, and clear the check boxes for those for which you do not want to create records in iAccess.

    If the number of companies and contacts that potentially need to be created exceeds 100, the list of individual items is not displayed. Instead, you are given the options to create records for the primary client, for all contacts, and for all competitors. You can select any, all, or none of these three options.

  9. When you have made your selections in the New Records dialog box, click Add Selected Records.
  10. If you imported only one opportunity, it displays in the Add Opportunities form. Click on the Add Opportunity toolbar to save the new opportunity.

    If you imported multiple opportunities, they are saved automatically and the first one imported is displayed.

  11. If necessary, display each of the imported opportunities in the Opportunities area, and enter values in fields that the import process left empty.
