Project Management Summary

Key information and options for the current project always remains visible at the top and along the left side of the Project Management workspace as you move from one tab to another.

Field Description
Project search

Use the field immediately above the project name to search for and select the project that you want to review or edit.

On the drop-down list at the left end of the search field, select a standard or custom search:

  • Click PROJECT MANAGER to select from a list of active projects for which you are the project manager at the WBS1 level.
  • Click PRINCIPAL to select from a list of active projects for which you are the principal at the WBS1 level.
  • Click SUPERVISOR to select from a list of active projects for which you are the supervisor at the WBS1 level.
  • Using organization level 1 as an example, click the name of organization level 1 to select from a list of active projects that are assigned (at the WBS1 level) to an organization with the same level 1 value as the organization to which you are assigned in the Employee Info Center. The searches for the other organization levels work in the same way.
  • Click a previously saved custom search to display the projects returned by that search. Custom searches display below the standard searches on the drop-down list.
  • Click Custom at the bottom of the list to create and save or apply a new custom search. Unlike the standard searches, the custom searches you create are not limited to the projects with which you are associated; they are only limited by your access rights as set up in Vision.

The settings that you specify in the Project Settings dialog box determine the order in which the projects display in the list (by name or by number) and whether or not images assigned to the projects display. To review or change those settings, click on the Project Management toolbar in the upper-right corner of the workspace.

If warning conditions exist for any of the projects, the red () or yellow () warning indicators display next to them on the list. You can hover over or tap an indicator to display a description of the warning condition. See Warning Indicators for more information about the warning conditions and indicators.

To further restrict the list of projects, do either of the following in the search field:
  • To display a list of projects with short names, long names, or project numbers that begin with a specific single character, type the character in the field and pause.
  • To display a list of projects with short names, long names, or project numbers that contain a specific sequence of two or more characters, type the characters in the field and pause.

Tip: If you enter characters in the search field and then want to remove them, you can click the icon at the end of the field to clear the field.

Tip: The number of projects in the current search results displays at the right end of the search field.

Project name

The project's short name displays above the tabs.

Project Number

This field, located below the project name, displays the project number.

and Click to collapse the summary information on the left side of the workspace so there is more space to display data on the tabs. Click to show the summary information again.
Contract Start - End This field displays the start and end dates for the project. The dates are based on the Initial Dates: Start and Completion Dates: Estimated fields in the Project Info Center in Vision. These dates may differ from the dates on the Planning tab because planned dates may be outside the contract date range. Only one or no dates display if one or both are not available for the project in the Project Info Center.

Project Status This field displays the project status: Active, Inactive, or Dormant.
Project Manager This field displays the name of the project manager for the project at the WBS1 level.

Click the name to display a tooltip containing employee information: job title, location, phone numbers, and email address.

Client This field displays the name of the project's primary client.

Click the name to display a tooltip containing client information: market, primary address, phone number, and status.

Plan Status This field displays the status of the project's plan:.
  • No Plan: The project has no iAccess plan or Vision plan that is set to be in utilization.
  • Vision Plan: The project has a Vision plan that is set to be in utilization.
  • Vision Plan: The project has a Vision plan that is set to be in utilization. However, the details of this Vision plan display differently in iAccess. The difference may be due to unmapped phase or task rows, or the plan level rows that resources are assigned to or how they are assigned.
  • Published: A Vision plan has been converted to an iAccess plan, or an iAccess plan has been created and published, or an iAccess plan has been reverted to its last published values. No unpublished changes exist for the plan.
  • Not Published: The project has an iAccess plan for which plan and/or baseline changes have been saved but not published.
  • Not Saved: The project has an iAccess plan for which unsaved plan changes exist.

Billing Summary or Cost Summary
This heading and the amounts displayed in the fields under it will vary depending on whether you display amounts at billing or at cost. The currency could vary also.
Field Description
Currency If your firm uses the Multicurrency feature in Vision, this field displays the currency code and description for the currency in which the amounts are displayed. The currency could be either the billing currency or project currency, depending on whether you display amounts at billing or cost and on how Vision is configured.

If your firm does not use the Multicurrency feature, this field is not displayed.

Contract

This field displays the total contract amount, at billing or at cost: Labor + Expenses + Consultants.

Click the contract amount to display a tooltip containing a breakdown of the contract amount into these three components. Click More in the tooltip to display a related help topic.

JTD This field displays the value, at billing or at cost, of the charges to direct, indirect, and reimbursable labor, expense, and consultant accounts for all posted and unposted transactions and committed purchase orders through today.

Calculation: JTD = Posted and unposted labor, expenses, and consultants + committed purchase orders + other posted expense charges.

Your security role's access rights to labor cost rates and amounts determines whether or not you can view JTD labor at cost.

ETC This field displays the total estimate-to-complete (ETC) amount, at billing or at cost, that is required from tomorrow through the end of the plan to complete the project. ETC amounts at the project level are the sum of ETC amounts calculated at the resource level.

ETC amounts for expenses and consultants are calculated differently, depending on whether the project plan is an iAccess plan or a Vision plan.

iAccess plan:

  • Expenses: If Planned expenses - JTD expenses is greater than 0, then ETC expenses = Planned expenses - JTD expenses. If Planned expenses - JTD expenses is less than or equal to 0, then ETC expenses = 0.
  • Consultants: If Planned consultants - JTD consultants is greater than 0, then ETC consultants = Planned consultants - JTD consultants. If Planned consultants – JTD consultants is less than or equal to 0, then ETC consultants = 0.

Vision plan:

  • Expenses: ETC expenses = Sum of planned expenses from tomorrow forward
  • Consultants: ETC consultants = Sum of planned consultants from tomorrow forward

Note: Expense ETC does not exist when the Expense planning page is hidden. Consultants ETC does not exist when either the Consultants planning page is hidden or it is enabled but you are viewing a promotional or overhead project.

If a project is mapped on multiple Vision plans that have the Include in Utilization and Project Reports option selected, iAccess totals are the combined values.

EAC

This field displays the total estimate-at-completion (EAC) amount, at billing or at cost, that is required from tomorrow forward through the end of the plan. The total EAC amount is the sum of the labor, expenses, and consultants JTD + ETC amounts from their respective Planning pages.

If a project is mapped on multiple Vision plans that have the Include in Utilization and Project Reports option selected, iAccess totals are the combined values.

Labor Multipliers: Target

This multiplier is used as the basis for evaluation against the labor EAC multiplier. The multiplier represents how much revenue is anticipated for each labor cost dollar spent on a project. If you are viewing a Vision plan, this field displays the multiplier in Target Multiplier for Cost on the General tab of the Project Planning form in Vision. If you are viewing an iAccess plan, this field displays the multiplier in Target Multiplier in the Plan Settings dialog box. If the project has no plan, no multiplier displays.

If a project is mapped to multiple Vision plans that have the Include in utilization and project reports option selected, iAccess shows the target multiplier from the plan with the earliest creation date.

Labor Multipliers: EAC

The estimate-at-completion (EAC) labor cost amount is the cost value of the hours worked through today and the remaining planned hours. To determine the multiplier, this calculation is used: Direct labor from the Budget & Revenue tab in the Project Info Center divided by the EAC labor.

Only the EAC cost amounts from plans in utilization are included in the calculation. All iAccess plans are marked to Include in utilization and project reports. Vision plans may or may not be marked as such.
