Contacts Associations Tab

Use the Associations tab in the Contacts area to create and maintain lists of the opportunities and other contacts that are associated with a contact.

If custom grids or fields are defined for this tab in Vision (Configuration > General > User Defined Components), those grids and fields display below the Contacts grid. As with standard grids and fields, you must make entries in any required columns and fields.

Field Description
Opportunities grid

This grid displays the opportunities with which the contact is associated. You can establish the association of an opportunity to the contact by selecting the opportunity in this grid or by selecting the contact in the Team Members grid on the Team tab for the opportunity in the Opportunities area. If you add, edit, or delete information in this grid, that change is also reflected in the Team Members grid for the opportunity. To add another opportunity association, click + Add Opportunity below the grid.

If the list of opportunities in this grid is long and you want to locate a particular one, type one or more characters from the opportunity name in the field next to Opportunities. That filters the list so that it only displays a list of opportunities whose names contain those characters. To restore the full list, click X at the end of the field.

Opportunities: NAME

This column displays the name of the opportunity.

Click the name to display a tooltip containing opportunity information: opportunity type, estimated revenue, probability of winning, date opened or closed, status, and stage. Click More in the tooltip to display the full opportunity record on a separate browser tab. (If the row is in edit mode, you cannot display the tooltip. In that case, click anywhere outside the row to take it out of edit mode and then click the name.)

To specify an opportunity for a new association, type one or more characters from the opportunity name to select from a list of opportunities whose names contain those characters. Click to select from the full list of opportunities. (You can also search for a first name - last name or preferred name - last name combination.) If the opportunity has not yet been added in iAccess, you can click + New Opportunity at the bottom of the selection list to display the Add Opportunity form and add the opportunity.

Opportunities: OPEN DATE This column displays the date the opportunity was opened (the date on which you identified the opportunity and began pursuing the job.
Opportunities: ROLE

This column displays the contact's role for the opportunity (Owner, Electrical Engineering, Acoustics).

To select a different role, click in this field.

Opportunities: ROLE DESCRIPTION

This column displays a more detailed description of the contact's role.

Click in ROLE DESCRIPTION if you want to apply special formatting (bold, color, and so on) to the description or if you want to display the complete text of a longer description.

+ Add Opportunity To associate another opportunity with the contact, click this link and select the opportunity in NAME.
Contacts grid

This grid displays a list of other contacts that are in some way associated with the contact. To associate another contact, click + Add Contact below the grid.

When you associate a contact with the currently selected contact, iAccess also adds the reciprocal association. You do not have to manually create an association for both sides of the relationship. For example, if Contact A is the currently selected contact and you add an association with Contact B in the grid and select Ex-Coworker in RELATIONSHIP, a reciprocal association is automatically added for Contact B also. If you then select Contact B and go to the Associations tab to view that contact's associations, the grid contains a row for Contact A with Ex-Coworker in RELATIONSHIP. The entry in RELATIONSHIP DESCRIPTION is also automatically duplicated in the reciprocal association.

Contacts: NAME

Contacts: RELATIONSHIP

This column displays the relationship of the contact in NAME to the currently selected contact.

To select a relationship, click in the field and select it from the list.

iAccess uses the same relationship when it adds the reciprocal association.

This column displays a more detailed description of the contact relationship.

iAccess uses the same relationship description when it adds the reciprocal association.
