Use Drop-Down Lists and Lookups to Enter Data

When you enter data in iAccess, you often can display a drop-down list or a lookup dialog box and select the value you want to enter in the field or grid column.

displays in fields and grid cells that have a lookup dialog box. Note, however, that fields that have a lookup dialog box will display a drop-down list if you enter search text directly in the field rather than clicking to open the lookup dialog box.

To enter a value in a field or grid cell that has a drop-down list, complete the following steps:
  1. In the field or grid cell, do either of the following:
    • Enter one character from the value to display a list of values that start with that character. (If only one value matches your entry, it is automatically entered in the field or grid cell.)
    • Enter two or more characters from the value to display a list of values that contain those characters. (If only one value matches your entry, it is automatically entered in the field or grid cell.)
    • Click to display a list of all available values.
  2. When you locate the value that you want, click it.

    Result: The value is entered in the field or grid cell.

To enter a value in a field or grid cell that has a lookup dialog box, complete the following steps:
  1. In the field or grid cell, do either of the following:
    • Enter one character from the value to display a list of values that start with that character. Enter two or more characters from the value to display a list of values that contain those characters. Click the value you want to enter in the field or cell. (If only one value matches your entry, it is automatically entered in the field or grid cell without displaying a list of values. If a hierarchy of values is involved (as is often the case when you are entering a project, for example), the list of values may display in the lookup dialog box rather than in a drop-down list. If that occurs, continue with step 2 of these instructions.)
    • Click to display a list of available values in the lookup dialog box, and continue with step 2.
  2. If the value you want is not visible in the lookup dialog box, do one or more of the following to locate it:
    • Scroll the list until the value is visible.
    • In the search field above the grid, enter one character from the value to display a list of values that start with that character, or enter two or more characters from the value to display a list of values that contain those characters.
    • Click the column label for the sort column to sort the list in the reverse order. (A sort icon ( or ) displays next to the current sort column.) If the grid contains more than one column, you can click another column label to sort based on the values in that column.
    Some lookup dialog boxes may require you to select more than one value. For example, you may have to select a project, a phase, and a task in the Project/Phase/Task Lookup dialog box.
  3. When you locate the value that you want, click it and click Select.

    Result: The value is entered in the field or grid cell.
