Add Resources Dialog Box

When you create a plan in iAccess, use the Add Resources dialog box to add active labor resources to the plan.

To add labor resource rows, your Vision security role must have Full, Add/Modify, or Modify Only record access rights for Project Planning, and dates must be assigned to the current WBS element.

To display the Add Resources dialog box, complete the following steps:
  1. In the Project Management workspace, select the project for which you want to add resources.
  2. Click the Planning tab.
  3. If the Labor page is not displayed, click the name of the currently displayed page, and click Labor on the drop-down list.
  4. Click Check Out on the Planning toolbar.
  5. In the Labor Planning grid, open the WBS element for which you want to add a resource.
  6. Click + Add Resource. The Add Resources dialog box displays, listing the active resources who match these requirements:
    • The employees your role allows access to if the Apply Employee Record Access option is selected on the Planning tab of the Roles form in Vision. If you don't have the Vision Resource Planning module, the option is on the iAccess tab instead.
    • The resources in your home organization, if your firm uses organizations in Vision.
    • The resources who are not already included in the current Work Breakdown Structure.

Field Description
Search To find and select resources, enter any part of the following in the search field: employee first or last name, employee identification number, or organization name. To view a full list of all resources, clear the entry in the search field.
SHOW EMPLOYEES Select this check box to include active employees on the results list. The list of resources updates accordingly. Any employee who is already assigned to the WBS element is excluded because an employee can only be assigned to a WBS element once.
SHOW GENERIC RESOURCES Select this check box to include generic resources on the results list. The list of resources updates accordingly. Any generic resource that is already assigned to the WBS element is excluded because a generic resource can only be assigned to a WBS element once.
SHOW If you use organizations in Vision, use this drop-down list to specify the organizations included when you search for resources. To include all Vision organizations, select All Organizations. To show only resources belonging to your organization, select My Organization.
Resources grid Click on the row for each of the resources you want to add to select them, and then click Add.

You can sort the grid in ascending or descending order based on values in any of the columns. A next to a column heading indicates the current sort column. To change the direction of that sort, click the column heading. To sort by a different column, click that column heading.

RESOURCES This column displays the list of resources, based on the generic and named resource options that are selected.

By default, the resources are sorted alphabetically, with all employees listed first, followed by generic resources.

NUMBER This column displays the resource identification number.
PERCENT UTILIZED This column displays the percentage of time that an employee is assigned as a resource for the selected WBS level's date range across all iAccess plans and those Vision plans that are marked as Include in Utilization and Project Reports on the General tab of the Project Planning form in Vision. The hours are prorated against the current plan's calendar scale.

The value in PERCENT UTILIZED is impacted by the use of hard or soft booking for resource assignments in Vision Resource Management. Hard booked assignments are those for which an employee is scheduled and approved on a plan. Soft booked assignments are those for which an employee is tentatively scheduled on a plan, but the resource assignments have not yet been approved. You enable hard booking and soft booking on the Resource Management Settings tab of Configuration > Planning.

When these options are enabled, all changes that you make to an iAccess plan are marked as soft booked, and baseline planned hours are excluded. If the Include Soft Booked Hours when Showing Planned Hours and when Calculating Availability or Utilization option is not selected on the Resource Management Settings for in Vision (Configuration > Planning > Resource Settings), the soft booked hours on published iAccess plans and Vision plans are excluded from the hours that are used to calculate the percent utilized for the employee.

Calculation: [Number of hours employee is scheduled to work within date range/ (employee's hours per day x number of working days in the date range)] x 100

This value displays as blank if the employee does not have hours scheduled during the selected WBS level's date range.

Note: If you are using an iAccess plan, the value in PERCENT UTILIZED only considers the hours that were published to Vision, not the hours that are saved in iAccess but not published.
UTILIZATION RATIO This column displays the utilization ratio for the resource. Derived from information on the Accounting tab of the Employee Info Center in Vision, the utilization ratio is the maximum amount of time (as a percentage), that an employee can be assigned as a named resource on a project. For example, if you expect an employee to spend 75% of her time actively involved in project work, then you enter 75 as the utilization ratio. Vision Planning uses this information to determine an employee's availability for project assignments.

UTILIZATION RATIO is blank if the employee does not have an assigned utilization ratio or if it is set to zero.

ORGANIZATION This column displays the employee's or generic resources's organization.
Add and Cancel After you select the resources you want to add, click Add to close the dialog box and add the resources to the Resource Assignments grid. Click Cancel to discard your selections and close the dialog box without adding any resources.
