The fields on the Invoices tab above the grid provide client, contact, and accounts receivable information for the project.

Field | Description |

This icon displays next to the Invoices tab name to alert you that an invoice that you are responsible for approving or rejecting for billing have been submitted for approval for the currently selected project.

Draft Invoice to Approve
|
if you are assigned to approve or reject invoices for the currently selected project and an invoice is awaiting approval, these fields display the invoice date and the invoice amount for the draft invoice.
These fields only display if the project has a submitted invoice that is waiting on your approval or rejection.

Draft Invoice to Approve toolbar
|
This toolbar displays next to the
Draft Invoice to Approve fields when those fields are visible. It provides these options:

Click
to display the invoice that is awaiting approval.
This icon only displays if there is an invoice on file. Depending on settings in the billing terms in
Vision, the Additional Documentation dialog box may display to give you the option to also view the Billing Backup report or supporting documents along with the invoice.

Click
to open the Billing Comments dialog box and enter an "in process" comment for the invoice.

If you are assigned to approve invoices, click
to approve an invoice that is awaiting approval.
When you click this icon, the Billing Comments dialog box displays so you can enter a comment related to the approval. When you click
Approve in that dialog box, the approval occurs. If you click
Cancel or otherwise close the dialog box without clicking
Approve, the approval does not occur.

If you are assigned to reject invoices, click
to reject an invoice that is awaiting approval.
When you click this icon, the Billing Comments dialog box displays so you can enter a comment related to the rejection. When you click
Reject in that dialog box, the rejection occurs. If you click
Cancel or otherwise close the dialog box without clicking
Reject, the rejection does not occur.
If the invoice's project is the main project for a billing group, all projects within the billing group are rejected as well. If an invoice is rejected, anyone who has required security access can display the invoice in
Vision Interactive Billing and make changes to that invoice and submit it for approval again.

Billing Currency
|
If your firm uses the Multicurrency feature, this field (in the upper-right corner of the workspace) displays the billing currency code for the project.

Billing Client
|
These fields display the billing client that is assigned to the project on the Accounting tab of the Project Info Center or in the project's billing terms, along with the client address from the billing terms.

Contact
|
This fields display the name of the billing contact and his or her email address and business phone number. To open your email application and send an email to the contact, click the email address.
|
Receivables Information
|
These fields display the accounts receivable information for the invoices.
Field | Description |
Average Age
|
This field displays the average number of days, from the invoice date to today, that invoices have an unpaid balance. This field is automatically calculated for all rows in the Invoices grid, even those that do not contain a date.

Last Receipt
|
This field displays the date and amount of the most recent payment received.
|
Unapplied Retainer
|
If the client has paid a retainer and the biller has applied some of the retainer to one or more invoices, this field displays the amount of the project's held retainers that have not yet been billed.

Aged Accounts Receivable
|
The Aged Accounts Receivable chart displays your posted accounts receivable information, with aging data for the current project. This includes the total amount billed, paid and unpaid balances, outstanding retainage, and the length of time that the receivables have been outstanding.
