Detailed Timesheet Report

The Detailed Timesheet report displays timesheet entries by employee and labor period. The report includes all information entered on the employee's timesheet.

If revision auditing is enabled for the employee, you can also include revision information on the report.

You can preview or print this report for one employee from the Timesheet form and for one or multiple employees from the Select Employee Timesheet dialog box. (If you generate it from the Select Employee Timesheet dialog box, the option to include revision information is not available.) You can use the Timesheet Audit Detail report (Reporting > Employee > Timesheet Audit Detail), a similar report, to review timesheets for multiple employees over multiple timesheet periods.

Timesheet Hours

Report Header: Timesheet Hours Tab

Column Description

Employee

The field displays the employee's identification number and name (Last Name, First Name).

Signed/Approved

If you selected Require electronic signature when submitting timesheets on the Setup tab of Company Timesheet Configuration, the name of the employee who submitted the timesheet displays under the Signed line and the name of the employee who approved the timesheet displays under the Approved line.

If you are not using the electronic signature feature, these lines are blank.

In either case, you can use the lines for handwritten signatures if you wish.

The current status of the timesheet also displays in this section, as follows:

  • Draft Copy — The timesheet is In Progress.

  • Submitted — The timesheet has been submitted for processing, but has not yet been approved.

  • Approved — The timesheet has been approved by the appropriate administrator and is now ready to be posted.

  • Posted — The timesheet has been posted to your Vision database.

Organization

If you are using the Organization Reporting feature, the code for the employee's assigned organization displays here.

Report Columns:  Timesheet Hours Tab

Column Description

Project

These columns display the number and name of the project to which the employee is charging time.

Items in these columns display on the report in the following order:

  • Special categories always display first. The order in which they display is determined by the sequence numbers you assign them in Timesheet Special Categories Configuration. A special category displays on the report only if hours and/or comments have been entered for the category. For each special category, the category name shows in both columns.

  • Projects (phases, and tasks) display in descending order. Phase and task numbers (if applicable) are shown below the project number and name.

Phase

These columns display the number and name of the phase for which time was entered, if applicable.

Task

These columns display the number and name of the task for which time was entered, if applicable.

Labor Code

The labor code number to which the employee is charging time is shown below the project number and name (or the phase/task number if applicable).

Labor Category

The labor category for which the employee is charging time is shown below the labor code number, if applicable.

Labor category information displays on the report only if you are using Vision Accounting, Vision Billing, or Vision Resource Planning.

Payroll Tax Locale

The project's payroll tax locale (for example, CA, MA, or NY) is shown below the labor category information, if applicable.

Payroll tax locale information displays only if you selected Allow Project's tax locale to be overidden on Timesheet in Payroll Configuration and the employee's Locale Method is set to Follow Project Locale on the Payroll tab of the Employee Info Center.

Client Name

The name of the client associated with a project displays on the same row as the project name and number.

The client name displays only if you selected Include client name on detailed timesheet report on the Setup tab of Company Timesheet Configuration.

Comments

If the employee has entered any comments about time charged to a specific project, phase, and/or task, the comments display below the Day/Date boxes for the associated project, phase, and or task. The comment is preceded by a date to indicate the charge to which the comment applies.

Comments display only if you selected Include comments on detailed timesheet report on the Setup tab of Company Timesheet Configuration.

The expanded text content in this field displays on the report if you select Include Comments on the Setup tab in Company Timesheet Configuration.

Total ( Reg., Ovt, Ovt-2)

In this section, the Total column displays total regular and/or overtime hours charged to each individual project, phase, and/or task for the selected labor period.

  • Total regular hours for each project are shown in the Reg. box, if applicable.

  • Total overtime hours for each project are shown in the Ovt box, if applicable.

  • Total secondary overtime hours for each project are shown in the Ovt-2 box, if applicable.

The Ovt and Ovt-2 boxes display only if overtime hours are entered on the timesheet.

Day/Date

There is a separate column on the report for each day in the selected labor period. Each column shows the day of the week and the corresponding calendar date.

Within each column, there is a Reg., Ovt, and Ovt-2 box for each project on the timesheet report. These boxes show the regular, overtime, and secondary overtime hours the employee has charged to each project, phase, and/or task for each day in the labor period.

The Ovt and Ovt-2 boxes display only if overtime hours are entered on the timesheet.

Daily Totals Section: Timesheet Hours Tab

Daily Totals

In this section, the Total column displays total regular and/or overtime hours charged to all projects, phases, and/or tasks for the selected labor period.

  • Total regular hours for the labor period display in the Reg. box, if applicable.

  • Total overtime hours for the labor period display in the Ovt box, if applicable.

  • Total secondary overtime hours for the labor period display in the Ovt-2 box, if applicable.

  • Total regular, overtime, and secondary overtime hours for each day/date in the labor period display in the corresponding Reg. and Ovt, and Ovt-2 boxes in the Day/Date columns, if applicable.

The Ovt and Ovt-2 boxes display only if overtime hours are entered on the timesheet.

Unit Quantities

Report Header

Even though you cannot record units on iAccess for Vision timesheets, the report will include units that are assigned using Vision Timesheet.

Column Description

Employee

This column displays the number of the project to which the employee is charging units.

Phase

This column displays the number of the phase for which unit quantities were entered, if applicable.

Task

This column displays the number of the task for which unit quantities were entered, if applicable.

Unit

The unit name to which the employee is charging units displays in this column.

Unit Table

The unit table to which the employee is charging units displays in this column, if applicable.

Total

In this section, the Total column displays total units charged to each individual project, phase, and/or task for the selected labor period.

Day/Date

There is a separate column on the report for each day in the selected labor period. Each column displays the day of the week and the corresponding calendar date.

Within each column, there is a box for each project on the timesheet report. These boxes display the total units the employee has charged to each project, phase, and/or task for each day in the labor period.

Daily Totals Section

Daily Totals

In this section, the Total column displays total units charged to all projects, phases, and/or tasks for the selected labor period.

Revisions

Column Description
Revision This column displays the timesheet revision number. Once auditing starts for a timesheet, the revision number is incremented each time changes to regular hours, overtime hours, or start and end times are saved, new timesheet rows are saved, or the timesheet is submitted or approved.
Revision Date/Time This column displays the date and time that the revision was saved or that the timesheet was submitted or approved.

Submitted by

Approved by

This column displays the name of the employee who made the revision.

Which of these three column names displays depends on the type of revision.

Timesheet Date This column displays the date from the timesheet row.
Project This column displays the project number from the revised timesheet row.
Phase This column displays the phase number from the revised timesheet row.
Task This column displays the task number from the revised timesheet row.
Labor Code This column displays the labor code from the revised timesheet row.
Labor Category This column displays the labor category from the revised timesheet row.
Field This column displays the field from the revised timesheet row for which the value was changed. If multiple fields were changed on a timesheet row as part of the revision, the report displays a detail row for each field that changed.

The fields for which revisions are audited are those for regular hours, overtime hours, and start and end times.

Old Value This column displays the value of the field before the revision.
New Value This column displays the value of the field after the revision.
Revision Explanation If an explanation was required for the revision, it displays in this column.
