Asset Management History Form

Use the Asset Management History form to enter detailed information about the prior accumulated depreciation of your asset items.

A summary of the asset item's depreciation history also displays on the History tab in Asset Management > Asset Review.

How are asset items entered on this form?

Asset items are entered on the History form in the following ways:
  • Manually, on this grid.
  • Automatically, when a journal entry transaction is associated with an asset item (Transaction Center > Journal Entries > New File dialog box). The journal entry will display on the History register for the transaction.

To display the form, complete the following step:

From the Vision Navigation menu, click Utilities > History Loading > Asset Management.

Field Description
Prior Accumulated Depreciation Grid Use this grid to enter history amounts for asset items. This grid displays Fiscal Period and GL Book Amount columns, but the remaining columns are dynamic based on the Additional Books that your firm enters in Configuration > Asset Management > Additional Books.

Enter a depreciation amount for each book. Vision will automatically total the amounts for each column in the Summation row at the bottom of the grid.

Grid Drop-down Click the drop-down arrow on a grid header to complete any of the following actions:
  • To print grid data, click Print. When the Print Preview form displays, click File > Print to send the grid data to your default printer.
  • To export grid data to an Excel spreadsheet, click Export to Excel. When Microsoft Excel opens, use its features to modify, print, or email the data, or to save the spreadsheet file locally.
  • To turn on grouping for a grid, click Enable Grouping. When a field displays with the instruction: "Drag a column header here to group by that column," drag and drop column headers into this field, in the sequence that you want them to display.

Not all options are available on all grids.

Grid Options

Field Description
Insert To insert a new row, click this option. Enter the appropriate amounts in each column.
Delete To delete the entry from the grid, select the row containing the entry you want to delete and click this option.

Grid Columns

Field Description
Fiscal Period Select the prior or current fiscal period for the equipment item. "0" denotes the year prior to the current year, and the current year plus "00" denotes the current fiscal year. The fiscal period has no impact on the general ledger.
